Job Summary:
Interim Healthcare in Columbia, MD is seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an integral member of our franchise, the Administrative Assistant will provide support to various departments and ensure smooth operations of the office. The ideal candidate will have excellent communication and time-management skills, be proficient in Microsoft Office and have a strong understanding of administrative processes. This is a full-time, individual contributor role with a competitive salary and benefits package.

Compensation & Benefits:
This position is a full-time, salaried role with a compensation range of $14 to $15 per hour, paid weekly. Responsibilities:

  1. Answer phone calls and direct inquiries to appropriate staff members.
  2. Greet visitors in a professional and friendly manner.
  3. Manage incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment.
  4. Schedule caregivers for shifts and coordinate with staff members to ensure adequate coverage.
  5. Coordinate scheduling of nurses for assessments and reassessments, ensuring timely appointments and efficient utilization of resources.
  6. Perform general office duties such as data entry, filing, and maintaining records.
  7. Coordinate and schedule meetings, appointments, and interviews for staff members.
  8. Respond to and prioritize incoming emails and correspondence, ensuring timely responses.
  9. Assist with billing and invoicing processes, including generating invoices and processing payments.
  10. Maintain office supply inventory and order supplies as needed to ensure smooth operations.
  11. Prepare and distribute memos, letters, and other documents as requested by management.
  12. Provide support to various departments, including HR, marketing, and operations, as needed.
  13. Maintain confidentiality of sensitive information and handle all tasks with discretion.
  14. Contribute to team effort by completing other tasks and projects as assigned by supervisor.

 

Requirements:
• High school diploma or equivalent; post-secondary education in administration or related field is preferred
• Minimum of 1-2 years of experience in an administrative role
• Proficiency in Microsoft Office (Word, Excel, PowerPoint)
• Excellent communication skills, both written and verbal
• Strong attention to detail and ability to prioritize tasks in a fast-paced environment
• Ability to maintain confidentiality and handle sensitive information
• Strong organizational and time-management skills
• Ability to work independently and as part of a team
• Previous experience in the healthcare industry is a plus
