The Administrative Assistant (AA) is responsible for providing support at the unit level, by maintaining organized records, coordinating information with nursing, nutrition, social, and billing services as well as hospital, laboratories, and regulatory agencies.


The AA will assist and support the unit management team in achieving quality, patient satisfaction, staff development, business management, teamwork, culture, and employee satisfaction.


Responsible for understanding, supporting and implementing the philosophy and policies of the corporation.


Assist in the maintenance of a safe and clean working environment.


REPRESENTATIVE DUTIES:

  • Demonstrates applicable knowledge of policies and procedures related to Unit

Secretary position.

  • Demonstrates ability to perform technical skills related to administrative position.
  • Manages information utilizing appropriate manual or electronic systems.
  • Maintains and updates any necessary records and reports (including the Networks'

databases) needed for daily unit functioning and HCFA requirements in a neat and

orderly fashion.

  • Accurately prepares, verifies, and maintains daily patient data entry.
  • Maintains confidentiality and completes documentation as required.
  • Answers telephones appropriately, accurately takes messages, and promptly communicates messages to appropriate person.
  • Types up all required forms and any other form of written communication.
  • Assists management team by typing, editing, and distributing memos and reports as

directed.

  • Opens, sorts, and delivers mail appropriately.
  • Makes photocopies appropriately.
  • Enters all billable services/medications into CTS- Computer.
  • Communicates appropriately with unit personnel, patients, and family.
  • Assumes responsibility for medical records by keeping patient's paper charts up

to date.

  • Establishes and maintains a filing system for the unit.
  • Prepares requisitions for lab tests and other procedures, as requested, informs and

distributes the results to Unit Supervisor/Dietitians of results.

  • Prepares blood work tubes/labels and plans for lab pickup.
  • Assists in ordering all unit supplies and maintains written and computer inventory

records (TURNS) as directed.

  • Utilizes time, equipment, and supplies effectively and economically.
  • Assists in arranging transportation, appointments, referrals, and vacation information

forms, etc. for patients as necessary.

  • Completes monthly reports accurately and in a timely manner.
  • Actively participates in unit staff meetings/in-services, as appropriate.
  • Reports all new or unusual incidents, information, complaints, or problems to

Facility Administrator or Clinical Coordinator, using proper channels of communication.

  • Follows safety guidelines for self, patients, visitors, and employees. Follows

universal infection control precautions and procedures regarding handling hazardous

chemicals in compliance with OSHA.

  • Follows basic principles of medical asepsis and practices aseptic technique, if

necessary or applicable.

  • Utilizes proper body mechanics to ensure a safe working environment.
  • Assists in maintaining a neat, orderly, and well-stocked storeroom and unit.
  • Responds with patient and non-patient emergencies according to policies and

procedures within job requirements.

  • Assists in the evacuation of patients in the event of emergency fire and/or disaster.

  • Demonstrates acceptance of patients, families, visitors, and co-workers regardless of

race, gender, disease process, lifestyle, religious or cultural beliefs, or treatment.

  • Calculator, personal computer (including CTS terminal), copier, telephone, fax machine.

PHYSICAL DEMANDS AND WORKING CONDITIONS:


  • Long periods of sitting at a desk performing light physical work, including working at

a computer terminal.

  • Light physical work involving lifting and carrying.
  • Talking and listening to communicate ideas or requirements to individual staff members.
  • Visual acuity to prepare and read written material accurately.
  • Audio acuity to listen attentively and accurately.
  • Ability to work overtime as needed to complete general responsibilities to meet

the needs of the unit or corporation.

  • Hand dexterity.



ENVIRONMENTAL CONDITIONS:


  • Exposed to potentially hazardous/infectious materials, observing, and complying with the safety regulations/requirements of EHSC and governmental agencies.

MINIMUM QUALIFICATIONS:


  • High school diploma or equivalent.
  • Secretarial experience, preferably in a medical environment (certificate from Medical Assistant Program)
  • Knowledge of computer spreadsheets, word processing, and windows.
  • Organizational skills.
  • Excellent verbal and written communication skills. Bilingual preferred
  • Valid driver's license and insurance, when indicated/applicable for business travel by automobile.
