Summary/Objective

The Facilities Department provides critical maintenance for Pearl every day, by ensuring that our property is operating effectively, and that building systems and common areas are dependable and reinforce the Pearl brand and the experience we deliver. The department provides preventative maintenance for key systems and responds to repair requests around Pearl as well as tenant service requests. The Facilities Manager is accountable for the overall management of the activities of the facilities department. This position oversees 2 supervisors on the facilities team and ensures that the teams have adequate tools and training to perform maintenance functions at Pearl. The Facilities manager implements the preventative maintenance program and provides strong technical expertise to assist the members of the department.

Essential Functions

  • Prioritize the work of the team to ensure building systems and common area systems are operating efficiently and are maintained according to Pearl standards.
  • Review, negotiate and approve facilities service agreements and contracts.
  • Accountable for the turnover of new projects, ensuring all documentation is received and preventative maintenance processes are documented and incorporated into the work of the team.
  • Assess the efficiencies of standard operating procedures and implement changes as needed. Focus on providing exceptional service through positive interactions and appropriate response times to requests from associates, tenants, and guests.

Facility Management

  • Create and implement a preventative maintenance program and capital plan that ensures our assets are maintained in a proactive way that minimizes cost and downtime. To include but not limited to HVAC, mechanical, electrical, fire/life safety, and plumbing systems.
  • Identify and assess existing building and property systems and determine critical maintenance and repair needs and prioritize the current repairs needed.
  • Accountable for the completeness and accuracy of work order system and the delegation for the work to be completed.
  • Lead the development of inventory systems that support the efficient and effective maintenance of building and property systems.

Revenue and Financial Management

  • Support the team in understanding maintenance functions that are billed to tenants. Ensure tenants relationships are upheld by appropriately communicating work that is billed to tenants.
  • Implement and uphold adherence to health safety standards and meeting or exceeding regulatory requirements.
  • Lead the development of the budget for the department and assist in the monitoring of performance against budget.

Leadership and Communication

  • Build trust with partners and peers by providing dependable and professional services and open communication.
  • Clearly communicate departmental objectives and standards and use departmental data to support the achievement of those objectives.
  • Collaborate with other leaders within the organization to ensure Pearl’s facilities support the delivery of exceptional experiences (i.e., special events, activations, etc.).
  • Collaborate with Property Management to uphold the policies and procedures that ensure each tenant encounter meets Pearl standards as it relates to responsiveness, quality of work and approach.

Preferred Qualifications

  • 5-7 years’ experience in a complex, multi-building or campus style facilities environment
  • Experience working for an owner or 3rd party manager in a commercial real estate services environment is strongly preferred
  • Advanced mechanical skills and knowledge of plumbing, HVAC and other building systems
  • Proficiency with repair tools and techniques
  • Excellent communication and interpersonal skills, including the ability to speak with all levels of associates, tenants, guests, and vendors
  • Great time management, organization and prioritization abilities
  • Keen attention to detail and efficient problem-solving skills
  • Experience in developing preventative maintenance plans
  • Certifications in plumbing, HVAC, of other systems strongly preferred
  • Certified Facility Manager (CFM), Facility Management Professional (FMP), Certified Maintenance & Reliability Professional (CMRP) or other professional designation preferred
