JOB DESCRIPTION:
A/P and Front Desk Clerk
The primary responsibility of the A/P and Front Desk Clerk is to provide financial, administrative, and clerical support by ensuring vendor invoices / bills are processed and expenses are controlled by receiving vendor invoices, processing, verifying and reconciling vendor statements according to established policies and procedures in an efficient, timely and accurate manner. They will also be responsible for taking inbound calls and greeting walk-ins at the Company’s headquarters.
Responsibilities:
· Review all invoices for appropriate documentation and approval prior to payment and keys into system.· Establish accounts with new vendors providing credit applications and references as required.· Respond to all vendor inquires, research and follow up on open issues in a timely manner.· Process invoices, expense reports, and payment requests accurately and efficiently.· Match invoices with purchase orders and receiving documents to ensure accuracy and completeness of transactions.· Verify and reconcile vendor statements to ensure all outstanding invoices are accounted for and resolved in a timely manner.· Code invoices with appropriate general ledger account numbers and cost centers for proper expense allocation.· Communicate with vendors regarding payment status, discrepancies, and invoice inquiries in a professional and courteous manner.· Maintain organized and up-to-date accounts payable files and documentation for audit and reference purposes.· Answer and direct phone calls in a polite and professional manner.· Greet visitors and direct them to the appropriate person or office.· Maintain office filing and storage systems, ensuring organization and accessibility of documents.· Manage office supplies inventory and place orders as needed.· Handle incoming and outgoing mail and packages, including sorting, distributing, and processing.· Provide general administrative support to executives and other staff members as needed.· Coordinate and assist with special projects and events as assigned.
Qualifications:
· A High School Diploma, or equivalent.· Proficient with Excel and Microsoft Office.· Construction experience desired.· Ability to work under pressure to meet deadlines in a fast-paced, dynamic environment while managing multiple tasks.· Excellent written and verbal communication skills.· Ability to be results-oriented, taking initiative to make things happen, accept accountability, and have a “can do” attitude.
