Job Title

The Bookkeeper/HR Associate will be responsible in various aspects of accounting for the organization including in assisting financial statements, maintaining company accounting records, administering aspects of account payable, and account receivable. In addition, this position is responsible for designing, organizing and conducting training programs for members of an organization. This position will work with the Controller, HR and managers within the organization.


Essential Duties of the Position

  • Post client deposits in QuickBooks.
  • Post credit card & EFT deposits in QuickBooks.
  • Post NSF/COR’s in QuickBooks.
  • Post Debtor payments in QuickBooks.
  • Calculate and allocate several expense invoices to proper companies before processing payments.
  • Process account payable for all companies.
  • Process employee expense submissions.
  • Assist with building/property maintenance scheduling & coordinating. (Secondary)
  • Assist with office supply tracking and ordering and purchasing of break room and janitorial supplies.
  • Perform other duties as assigned by the Controller on a daily/weekly basis.
  • Communicating with managers and administration to identify training needs
  • Managing, designing, developing, coordinating and conducting all training programs
  • Keep track of all training renewals/schedules for new hire and annual compliance
  • Maintain all company training logs
    • Adding new, updating, removing terminated, etc.
  • Tours to all new employees
  • Training new hires on company policies and procedures while using the best training methods for a specific purpose or audience
  • Serve as a learning management system training coordinator and maintain training plans within LMS
  • Gather and evaluate information from employees and management on previous training to identify weakness’
  • Ability to convey complex information in an understandable way
  • Knowledge of how to lead discussions, instruct training groups and stimulate individuals and groups in the learning process
  • Performs other related duties as required and assigned.
  • Provides additional training as needed for current employees
  • Maintains confidentiality at all times (i.e., PHI HIPAA, etc.)
  • Create printed & instructional materials to be used in training

Monthly:

  • Generate A/R balance report for credit adjustment in preparation of month end closing.
  • Record credit adjustment and A/R balances.
  • Generate pay reports for all companies for month end billing reconciliation.
  • Balance STV pay reports and non-STV pay reports with statements
  • Review, investigate and process bulk court check refunds.
  • Process check payments and generate invoices for month-end billing and statement packages.

As Needed:

  • Assist HR director in annual employee benefits enrollment, and benefit plans.
  • Complete client reporting

Requirements:

Requirements of the Position

  • 3-5 years’ experience in accounting/bookkeeping required.
  • Knowledge of Quick Books software required and FACS software preferred.
  • Proficient in Excel.
  • Knowledge in Microsoft Office products.
  • Details oriented.
  • Display strong organization/time management skills.
  • Previous payroll experience.
  • Experience in benefits administration preferred.
  • Knowledge of HIPAA preferred.
  • Must be able to perform under pressure and in a fast-paced environment.
  • Employee must be able to multi-task, prioritize and meet deadlines.
  • Excellent verbal communication skills.
  • Effective critical thinking and problem-solving skills.
  • Occasionally required to stand or walk and lift and/or move up to 25 pounds.

Difficulty of Work

Work activities are performed independently. The work can include some difficult aspects. Advice and guidance may be sought from the CPA or HR as warranted to ensure the provision of quality service. This job operates in a professional office environment and work activities are primarily independent.
