Overview:
The Reports and Communication Specialist is responsible for overseeing the creation, dissemination, and management of reports and communications related to disaster response and recovery efforts. They play a critical role in ensuring timely and accurate reporting, as well as effective communication with stakeholders, including internal teams, government agencies, partner organizations, and affected communities. This position will require deployment to disaster areas. Federal Emergency Management Agency (FEMA) will require the individual to deploy to a covered disaster are within 48 hours of notification.
The deployment areas will cover FEMA regions 3 & 4, Delaware, DC, Maryland, Pennsylvania, Virginia, West Virginia, Alabama, Mississippi, Florida, North Carolina, South Carolina, Georgia, Kentucky, and Tennessee.
Job Summary:
- Report Generation: Compile, analyze, and synthesize data from various sources to create comprehensive reports on disaster response and recovery activities, including situational assessments, progress updates, and outcomes achieved.
- Content Development: Write, edit, and format reports, briefs, summaries, and other written materials to convey key findings, insights, and recommendations in a clear, concise, and compelling manner.
- Data Visualization: Design and create visual representations of data, such as charts, graphs, maps, and infographics, to enhance understanding, illustrate trends, and communicate complex information effectively.
- Document Management: Organize and maintain a centralized repository of reports, documents, and reference materials related to disaster fieldwork, ensuring accessibility, version control, and compliance with data security protocols.
- Communication Strategy: Develop communication plans and strategies to disseminate reports and updates to relevant stakeholders, including determining appropriate channels, formats, and frequencies for communication.
- Stakeholder Engagement: Coordinate with internal teams, government agencies, non-profit organizations, and community groups to gather information, solicit input, and ensure alignment on reporting requirements and communication priorities.
- Quality Assurance: Review and proofread reports and communications to ensure accuracy, consistency, and compliance with organizational standards, branding guidelines, and industry best practices.
- Crisis Communication: Assist in developing crisis communication plans and protocols to respond to emergencies, address misinformation, and manage public perception during disaster situations.
- Training and Capacity Building: Provide training and support to staff, volunteers, and partner organizations on report writing, data collection, and communication best practices to enhance reporting capabilities and ensure consistency in messaging.
- Continuous Improvement: Evaluate reporting processes, tools, and workflows to identify opportunities for efficiency gains, quality improvements, and innovation in reporting and communication practices.

Skills & Abilities:
- Proven experience in report writing, data analysis, and communication roles, preferably in disaster response, humanitarian aid, or related fields.
- Excellent writing, editing, and proofreading skills, with the ability to translate technical information into clear, accessible language for diverse audiences.
- Proficiency in data visualization tools and software, such as Tableau, Power BI, or Adobe Illustrator, to create compelling visualizations and infographics.
- Strong organizational and project management abilities, with the capacity to manage multiple tasks, meet deadlines, and adapt to changing priorities in a fast-paced environment.
- Effective communication and interpersonal skills, with the ability to collaborate with cross-functional teams, build relationships with stakeholders, and represent the organization professionally.
- Knowledge of disaster management principles, terminology, and best practices, as well as familiarity with relevant regulations, standards, and guidelines.
- Attention to detail and a commitment to accuracy, integrity, and ethical standards in reporting and communication activities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management systems.
- Flexibility to work irregular hours, including evenings, weekends, and holidays.
- Willingness to travel and work in disaster-affected areas for extended periods, often in challenging conditions.
- Live within driving distance of a metropolitan airport.
Additional Skills (Preferred):
- Experience with GIS (Geographic Information Systems) software and mapping tools for spatial analysis and visualization of disaster-related data.
- Familiarity with social media platforms, content management systems, and digital marketing tools for online communication and engagement.
- Understanding of crisis communication strategies, risk communication principles, and media relations practices in emergency situations.
- Fluency in multiple languages, particularly those spoken in disaster-prone regions, to facilitate communication with diverse communities.
- Training or certification in emergency communication, crisis management, or related fields
Education/Experience:
- Bachelor's degree and 5 years experience in disaster fieldwork or field of expertise; a graduate level degree or professional registration with 2 years of experience in disaster fieldwork or field of expertise; or 10 years of experience in disaster fieldwork or in field of expertise.
Certification(s):
Additional education or certification in disaster management or emergency communications is a plus.
Clearance:
Must be able to obtain and sustain a Public Trust clearance.
