Property Management Maintenance Supervisor

Responsible for the direction of effective maintenance requirements at each AH&D property. Supervision and oversight of the maintenance team, vendors, and contractors. Interact with a diverse group of external constituents and partners, i.e., tenants/potential tenants, funders, contractors, inspectors, etc., in addition to internal constituents across all programs.
Requirements:Education/Qualifications:
- Associate degree in building maintenance technology or facilities maintenance with two (2) years practical experience in the field; OR
- Five (5) years of related experience; or an equivalent combination of education and experience.
- Working knowledge of standard maintenance equipment and tools, at a level acquired through five (5) years of related experience.
- Prior Supervisory experience with skills and abilities to mentor, manage and motivate maintenance staff.
- Self-motivated, critical thinking and critical thinking skills, organized with strong attention to detail.
- Excellent written and verbal communication skills.
- Experience with basic computer software knowledge, i.e., Microsoft Word, Email 365, and Microsoft Teams.
- Experience with work order software, e.g., YARDI.
- Valid driver’s license and be able to meet and maintain AH&D insurance underwriting guidelines.
Key Job Functions
- Provide leadership for the maintenance staff responsible for the cleaning, maintenance, unit turnovers, snow removal and landscaping of AH&D properties and commercial spaces.
- In partnership with the Director of Property Management and a representative from the HR department, interview, recommend for hire, onboard, and train all maintenance staff.
- Generate work orders, prioritize tasks, and assign tasks to each maintenance staff member, while providing clear expectations and deadlines.
- Communicate effectively and timely with tenants/residents of upcoming work in their unit and/or on the property grounds.
- Frequently visit and inspect all Arbor properties for health and safety risks, as well as the welfare of tenants/residents.
- Ensure the maintenance staff functions as a cohesive team and works towards common goals.
- Identify and respond to conflicts between maintenance staff, with the added skill of facilitating effective conflict resolution.
- Conduct monthly, 1:1 meeting with each maintenance staff member.
- In Partnership with the Director of Property Management, develop and deliver 90day and annual job performance evaluations of maintenance staff.
- In partnership with the HR Officer, develop progressive disciplinary action plans and provide SMART goals in an effort to address and correct areas of concern.
- Review and approve biweekly timecards within the Paylocity software. Coordinate PTO, and on-call hours with maintenance staff.
- Maintain and update Ring Central.
- In a team spirited approach, develop and maintain all required safety documentation for all Arbor properties.
- Ensure maintenance reports are completed for each property.
- Collaborate with Properties Supervisor and Site Mangers to facilitate and prioritize unit turnovers.
- Collaborate with Properties Supervisor and Site Managers in conducting property inspections and creating preventative maintenance schedules.

Key Job Functions
- Monitor YARDI for team use, preventative maintenance needs, monitoring work order completion, and tracking long-term performance.
- Participate in On-Call rotation schedule.
- Coordinate PTO, Holiday, Sick coverage for Maintenance Assistants. Provide coverage when necessary.
- Coordinate and deliver on-going training needs for Maintenance Assistants.
- Inventory and maintain Property Management specialty tools.
- Collaborate closely with the Director of Property Management, Properties Supervisor and Site Managers.
Arbor Housing and Development Expectations:
- Report to work on time and work your scheduled shift, except in cases of emergency.
- In the case of an emergency, contact the Director of Property Management or designee immediately.
- Adhere to AHD Personnel Policy Manual as it pertains to Employee/Client boundary policy and procedure.
- Effectively discharge the key job functions of your job in accordance with Property Management and Fair Housing rules and regulations, MSDS, Personnel Policy Manual, AHD Code of Conduct and Standard of Acceptable Behavior.
- Support a Non-Discrimination/Anti-Harassment/Sexual Harassment free work environment, foster a respectful environment and refrain from unprofessional conduct as referenced in the Personnel Policy Manual.
Physical Demands / Environment
- Mix water and cleaning chemicals in containers to prepare cleaning solutions, according to the specifications and regulations of each cleaning product.
- Follow procedures for the use of chemical cleaners and power equipment, in order to prevent damage to the building’s equipment and oneself.
- When ascending or descending a ladder, always maintain three points of contact by:
o Facing the ladder
o Using at least one hand to firmly grasp the ladder.
o Do Not carry any object or load that could cause you to lose balance and fall.
- Frequently lift, move, carry, push, or pull 50 to 100 pounds.
- Prolonged periods of standing will be required, cramped or uncomfortable positions.
- Frequent physical activity includes bending and reaching, standing, and walking.
- Using fingers to manage or feel; reach with hands and arms.
- Frequently climb stairs and ladders; balance; stoop; kneel; and crouch.
- Frequently outside in cold or hot conditions.
- Continuous mental and visual attention required.
