Position Summary

Reporting to the Chief Medical Officer (CMO), the Assistant to the CMO will oversee the day-to-day operations of the CMO and Providers. The Assistant to the CMO will have the ability to work independently on projects, facilitate meetings, follow up on assigned tasks, and conceptualize clinical quality data and reports. Must be tech savvy, independent thinker, handle a wide variety of activities and maintain confidential matters with discretion.

Responsibilities

  • Provides administrative support and acts as the point of contact for all internal and external appointments.
  • Creating and maintaining clinical schedules for the Medical Providers and Clinical staff,
  • Maintaining clinical schedules on the EMR system
  • Monitoring and scheduling PTO for the Medical Providers and the clinical staff.
  • Organizing, updating and maintaining provider on call schedules
  • Communicating scheduling changes to the answering service
  • Organizes and distributes peer reviews for all medical providers
  • Assists the CMO with all Family Planning League documentation and training
  • Assists in organizational clinical quality metrics and development of barriers solutions to achieve clinical goals.
  • Maintains calendars, coordinates schedule and handles a variety of meeting logistics for CMO, indicating basic clinical duties
  • Manages incoming phone inquiries and directs as appropriate.
  • Assists in development of policies and procedures for clinical departments.
  • Develops and maintains good working relationships with all relevant local governmental agencies and authorities.
  • Attends meetings to record minutes and follows up personally with staff to ensure completion of tasks.
  • Proofreads documents as requested.
  • Prepares reports and research data.
  • Prepares reports for all federal, state and other audits
  • Edits and enters reports and in-house publications into appropriate database.
  • Maintains a well-organized, clean, safe and secure work environment.
  • Coordinates business travel arrangements for the CMO.
  • Completes expense reports for the CMO and Clinical Department.
  • Maintains the contact databases for the CMO and Clinical Department.
  • Participates in continuous quality improvement initiatives.
  • Participates in and adheres to OHI Corporate Compliance program and standards.
  • Performs special projects as assigned for the CMO and Clinical Department inclusive of Word documents, Excel Spreadsheets and PowerPoint presentations.
  • Maintains a favorable working relationship with all company employees to foster and promote a cooperative and harmonious working climate.
  • Maintaining confidentiality of sensitive material
  • Attends all mandatory in-services and meetings required by administration.
  • Works collaboratively with all members of the Senior Management and Management Teams to resolve departmental and organizational challenges expeditiously, economically, professionally and with minimum disruption to the practice.
  • Adheres to Corporate Compliance policies.
  • Is highly accountable for one's own productivity. In order to maintain transparency, all projects must be represented clearly on a project board on Monday.com. You are responsible for ensuring the board is always updated and accurate and that information is accessible to those that need it.
  • Other duties as assigned.

Education/Experience/Licensure

  • Graduate of accredited Licensed Practical Nursing program is required.
  • One to three years nursing experience in a medical center or community health care settings.
  • Certified Basic Life Support through American Heart Association is required.
  • Bilingual English/Spanish is preferred.
  • Proficient in professional writing, spelling, punctuation and communications skills.
  • Excellent customer service skills.
  • Proficiency in Microsoft Office 365 is required.
