Administrative Assistant

We are seeking a detail-oriented and proactive Administrative Assistant with experience in proposal writing to join our team. The ideal candidate will be highly organized, possess excellent communication skills, and have a strong ability to multitask. In this role, you will be responsible for providing administrative support to various departments while also assisting in the creation and development of proposals for projects, contracts, and partnerships.
Responsibilities:
- Provide administrative support to executives, managers, and team members, including scheduling appointments, managing calendars, making travel arrangements, and handling correspondence.
- Assist in the preparation, editing, and formatting of proposals, ensuring they are tailored to meet client requirements and deadlines.
- Conduct research and gather necessary information to support proposal development, including market analysis, competitor analysis, and client needs assessment.
- Collaborate with team members from different departments to gather relevant data and input for proposals.
- Manage proposal timelines and deadlines, ensuring timely submission of documents to clients or partners.
- Maintain a database of proposal templates, past proposals, and relevant documents for reference and future use.
- Proofread and edit proposals for accuracy, clarity, and adherence to company standards.
- Assist in other administrative tasks such as filing, data entry, and office organization as needed.
Qualifications:
- Bachelor's degree in Business Administration, Communications, or a related field.
- Proven experience working as an administrative assistant, with a focus on proposal writing or business development is a preference
- Excellent writing and editing skills, with the ability to craft compelling proposals that effectively communicate value propositions and solutions.
- Strong attention to detail and ability to manage multiple tasks simultaneously in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), as well as experience with proposal management software (e.g., Adobe InDesign, Proposal Management Systems).
- Ability to work both independently and collaboratively in a team-oriented environment.
- Excellent interpersonal and communication skills, with the ability to interact professionally with clients, team members, and stakeholders.
Preferred Qualifications:
- Experience working in a similar industry or field, such as consulting, technology, or professional services.
- Familiarity with project management methodologies and tools.
- Graphic design skills or experience creating visually appealing proposal documents.
- Knowledge of government contracting processes and requirements (if applicable).
