Summary Description
Assists the AP Supervisor with various tasks necessary to prepare, enter and pay approved company expenditures and maintains accounts payable files, inventory records and job costing records
Duties and Responsibilities
Essential Functions:
- Complies with and ensures compliance with all Tri-M safety policies and procedures.
- Complies with and ensures compliance with all Tri-M employment policies and procedures including standards of conduct and appearance to reflect positively on the Company.
- Assists AP Supervisor with coordination and enforcement of AP policies and procedures in conjunction with CFO and Controller.
- Performs various tasks necessary to pay properly approved company expenditures per CFO and Controller approval.
- Handles calls from vendors regarding open invoices, payment approvals and payment schedules.
- Monitor Accounts Payable email.
- Responsible for processing all non-payroll expenses and disbursements in accordance with Tri-M’s Month-End close deadlines.
- Responsible for processing two-step invoices.
- Responsible for properly posting Vendor credits and ensures unused credits are refunded to the company.
- Responsible for monthly disbursements for all discount vendors; and recurring monthly invoices.
- Responsible for returning invoices, with discrepancies, to vendors with explanation, and responsible for obtaining those invoices for processing.
- Assists with preparation of Vendor payment registers.
- Assists with preparation of Subcontractor payment registers.
- Maintains a positive relationship with Vendors’ representatives.
- Assists with various Accounting and Purchasing tasks, as needed.
Job Qualifications
Skills/Educational Requirements:
- Minimum of 5 years’ experience in accounting or related field.
- Good understanding of bookkeeping.
- Knowledge of Pennsylvania Sales Tax, Use Tax and tax exemptions preferred.
- Proficiency with Microsoft Office suite.
- Excellent interpersonal and communications skills.
- Ability to handle difficult situation in a professional, constructive manner.
- Advanced organizational skills and demonstrated ability to prioritize to meet deadlines.
- Advanced attention to detail and accuracy.
Physical Requirements:
- Working 40 hours/week, scheduled in 8-to-10-hour shifts.
- Vision adequate for daily and consistent computer use and reading.
- Sitting 6 to 8 hours/day.
- Lifting weights of 0 to 30 lbs. from floor to above shoulders.
- Repetitive use of hands for writing, typing, data entry.
- Hearing adequate for phone use.
