Position Description:

We are seeking a dynamic, motivated, and flexible Marketing & Events Coordinator to join our team. As the Marketing & Events Coordinator, you will play a pivotal role in executing marketing initiatives and organizing events to promote the HawkSoft User Group brand, engage members, and drive community growth. Your efforts will directly contribute to the success and satisfaction of independent insurance agents across the industry. The Marketing & Events Coordinator will report to the HUG Executive Director and work with the HUG Project Manager.


Duties and Responsibilities:


  1. Develop and execute marketing campaigns tailored to promote HawkSoft User Group membership and services among independent insurance agents.
  2. Coordinate and manage many aspects of event planning and execution
  3. Maintain strong relationships with partners, sponsors, and industry stakeholders, leveraging collaborations to maximize opportunities for mutual growth and brand exposure.
  4. Help cultivate and expand sponsorship development and fulfillment; raise revenue to increase program/organization budgets (exhibit sales, etc.).
  5. Ensure the CRM database is accurately maintained, reflecting up-to-date member information and activity records to support effective communication and engagement strategies. Identify ways to further benefit from CRM functionality.
  6. Market HawkSoft's initiative for Customer Advisory Boards. Work with HawkSoft's liaison to suggest HUG members to participate in CABs.
  7. Organize monthly webinars for members, curating relevant topics and securing expert speakers to deliver valuable insights and education.
  8. Help evaluate new software tools and technologies that could enhance our marketing and event capabilities, staying ahead of industry trends and innovations.

Knowledge, Skills and Abilities:

  • Strong project management skills with the ability to multitask and prioritize in a fast-paced environment.
  • Highly organized with an ability to manage resources, budgets, committees, and capacity to manage multiple projects/programs simultaneously.
  • Excellent written and verbal communication skills, with a keen eye for detail and creativity.
  • Proficiency in digital marketing tools and platforms, including social media management, email marketing, and content management systems.
  • Possess a basic understanding of artificial intelligence (AI) and its potential applications in marketing and event management, exploring opportunities to leverage AI-driven insights and automation for enhanced efficiency and effectiveness.
  • Proven negotiation success with event and vendor pricing.
  • Experience with Microsoft and Google's business suites (Word, Excel, PowerPoint, Google Docs, Google Sheets)
  • Basic experience with graphic design with tools like Canva
  • Demonstrate proficiency in other software tools commonly used in marketing and event management, such as CRM platforms, email marketing software, and project management tools, to streamline processes and enhance productivity.
  • Ability to work independently as well as collaboratively in a team environment.

Educational Experience:

  • Bachelor's degree in Marketing, Communications, Hospitality, or related field preferred but not required.
  • 3-5 years of experience in marketing & events required.
  • Proven experience in marketing and event coordination, preferably in the insurance or technology industry (but not required).
  • Flexibility to travel approximately 5-10% of the time and work outside of regular business hours as needed for events and conferences. (Approximately 3-5 trips per year .)
