JOB SUMMARY

As the Account Payable Clerk, you will be responsible for the daily processing of financial transactions while working as part of the diverse and cross-functional accounting team. This will include processing of invoices, payments, and assisting with internal and external customer inquiries in a fast-growing environment.

$21.64-$26.44 Hourly

LOCATION

Position is based in Scottsdale, Arizona

ESSENTIAL DUTIES & KEY RESPONSIBILITIES

  • Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.
  • Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
  • Collaborates with business stakeholders to drive timely and accurate accounts payable processing.
  • Maintains recurring invoice and payment schedules, including monthly rent payments, owners’ compensation, and debt obligations.
  • Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed.
  • Reconciles vendor invoice activity to monthly vendor statements.
  • Prepares routine payment batches, including obtaining appropriate payment approvals.
  • Maintains vendor ACH payment templates on the bank website.
  • Initiates weekly wire and ACH payments.
  • Obtains W9 documentation for new vendors, verifying the accuracy of tax identification numbers.
  • Addresses incoming emails from internal and external parties in the accounting inbox.
  • Supports year-end audit requests and tax filing requirements.
  • Assists with accounting records and ledgers by reconciling monthly statements and transactions.
  • Records entry of, verifies documentation for, and distributes petty cash.
  • Calculates and reports sales tax based on paid invoices.
  • Performs other related duties as assigned.

WORK ENVIRONMENT

  • This position is primarily office-based, with opportunities for remote work as deemed appropriate. Regular collaboration with the Finance and other departments is expected.

REQUIRED SKILLS & COMPETENCIES

  • Associate degree in accounting or related field is preferred.
  • Prior experience in accounting, finance, or related roles is desirable.
  • Proficiency in Microsoft Office Suite, particularly Excel and Word.
  • Strong attention to detail and accuracy in data entry and record management.
  • Effective communication skills, both written and verbal.
  • Ability to work independently and collaborate within a team environment.
  • Organizational skills to manage multiple tasks and meet deadlines.
  • Familiarity with Sage Intacct and/or previous ERP experience is a plus but not required.

PHYSICAL REQUIREMENTS

  • Ability to sit for extended periods, working at a computer or desk.
  • Capacity to communicate effectively, both verbally and in writing.
  • Capability to attend and lead meetings, events, and presentations.
  • Mobility to move around the office or other work locations as needed.
  • Manual dexterity to use office equipment and perform necessary job functions.
  • Visual acuity to read and analyze documents and reports.
  • Auditory ability to listen and interact during discussions and meetings.
  • The ability to lift objects weighing up to 15 lbs. may be necessary.
  • The position requires travel, including by aircraft and motor vehicle.
