Reports To: Collection Curator | Mrs. Keller
LOCATION: Petaluma, California
FLSA STATUS: Part Time/Full-Time | Non-Exempt

SUMMARY DESCRIPTION


This position is a general support position responsible for providing assistance to the Car Collection Curator and Director including but not limited to: administrative work, running errands, making deliveries, preparing orders, post office runs, etc. Ensuring the auto shop is kept current and up to standards. Experience and knowledge with Classic Cars are highly desired but not required.

ESSENTIAL FUNCTIONS

DUTIES AND RESPONSIBILITIES:

Running Errands for Business as needed
Accounting: Accounts Receivable, Payable, and payment of miscellaneous monthly bills for auto shop. Manage business accounts and perform all bookkeeping for Auto Shop
Coordinates with Corporate Office in Mexico as needed for invoicing, billing, etc.
Schedule appointments and maintain calendars for Curator/Director
Prepare communications, such as memos, emails, invoices, reports and other correspondence
Contacting suppliers and maintaining organization in the Shop
Respecting the privacy compliance of interpersonal, sensitive, documents and information
Occasionally helps with other requested duties, as needed, depending on business needs.

SUPERVISORY RESPONSIBILITIES - This position has no direct reports.

REQUIRED SKILLS AND ABILITIES


Self-Starter, able to take little direction and maintain efficiency
Able to multi task and handle multiple projects at once without supervision or instruction
Detail Oriented - pays attention to fine details
Intermediate experience with Excel, Access, Word, Google Suite, Outlook
Good time management skills, able to take direction from others well
Follow specific instructions, both oral and verbal.

EDUCATION AND/OR EXPERIENCE

High school certificate or Bachelor Degree desired but not required
Knowledge of: document administration
desirable to have 2 years of administrative experience.
government documentation about collection cars, requirements for import and export of collection cars, payroll program, labor law (FLSA).
Experience with inventory and counting producing accurate results

CERTIFICATES, LICENSES, REGISTRATIONS
Valid California Drivers License, Documented proof of lawful, permanent residence.

WORK ENVIRONMENT
Regularly: works under normal office conditions, with simple operation equipment (telephones, computers, vehicles) and under normal environmental conditions, without exposure to temperature changes inside the offices.
Occasionally:. May be asked to run an errand(s), go into town for supplies, pickup a delvery, etc. etc.
Noise level: the noise level in the work environment is usually mild-moderate
