General Description of Position:
At OrthoArkansas, the Call Center Representative is more than just a job—it's the heart of our patient experience. As the initial point of contact for our patients, this role is crucial in ensuring that every interaction is professional, compassionate, and efficient. The Call Center Representative is responsible for managing incoming calls, scheduling appointments, and supporting overall clinic operations by handling cancellations and rescheduling. This position is integral in maintaining effective communication within the clinic, ensuring a seamless and smooth experience for both patients and staff.
Key Responsibilities:
1. Call Management:
- Promptly answer incoming calls with a friendly and courteous demeanor.
- Direct calls to the appropriate staff members, manage extensions, voicemail, and the overhead paging system.
- Efficiently route messages for physicians and clinical staff to ensure timely communication.
2. Appointment Scheduling:
- Accurately schedule patient appointments, assisting with cancellations and rescheduling as needed.
- Support overall clinic operations by managing clinic cancellations and ensuring schedules run smoothly.
3. Administrative Support:
- Maintain precise records of call activities and patient interactions.
- Provide exceptional customer service, addressing caller needs and concerns with empathy and professionalism.
- Perform additional duties as needed to support the smooth operation of the call center and clinic.
Qualifications:
- Education and Experience:
- High school diploma or GED with a focus on office skills or related areas.
- 0 to 6 months of related experience and/or training, or an equivalent combination of education and experience.
- Previous call center experience is preferred but not required.
- Skills:
- Intermediate proficiency in word processing and typing.
- Basic proficiency in contact management and database software.
- Strong interpersonal and communication skills.
- Excellent organizational skills and attention to detail.
- Ability to thrive in a fast-paced environment and manage multiple tasks simultaneously.
- Compassionate and empathetic demeanor when interacting with patients.
Certifications and Licenses:
- None required.
