Job DescriptionJob DescriptionOverviewAs a Secretary at our organization, you will play a crucial role in providing administrative support to ensure efficient operation of the office. Your attention to detail and organizational skills will contribute to the overall success of our business by facilitating communication and streamlining administrative procedures. You will be responsible for maintaining office supplies, managing schedules, and providing support to management and employees.Key responsibilities
  • Manage and organize office operations and procedures
  • Assist in the preparation of regularly scheduled reports
  • Compose and distribute correspondence, memos, and forms
  • Provide support for meetings and conferences by preparing agendas and taking minutes
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Handle sensitive information in a confidential manner
  • Manage office supplies inventory and place orders
  • Answer and direct phone calls
  • Assist in the preparation of scheduled payments and manage invoices
  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Make travel arrangements and reservations for executives
  • Create and update records and databases with personnel, financial and other data
  • Perform receptionist duties when needed
  • Assist colleagues whenever necessary
  • Maintain a tidy and organized workspace
Required qualifications
  • Proven work experience as a Secretary or Administrative Assistant
  • Familiarity with office management procedures and basic accounting principles
  • Excellent organizational and time management skills
  • Proficiency in MS Office (MS Excel and MS Word, in particular)
  • Strong verbal and written communication skills
  • Discretion and confidentiality
  • Up-to-date with advancements in office gadgets and applications
  • Able to multitask and prioritize daily workload
  • High level of professionalism and ability to deal with sensitive information
  • High school diploma; additional qualifications will be a plus
  • Experience with business correspondence is a plus
  • Strong attention to detail
  • Strong interpersonal skills
  • Ability to work effectively both independently and as part of a team
  • Ability to work under pressure and meet tight deadlines
