Project Assistant

Job Description:
Responsibilities:
Administrative Support: Provide administrative support to project managers and project teams, including scheduling meetings, preparing meeting agendas, taking meeting minutes, and maintaining project documentation.
Communication and Coordination: Facilitate communication among project team members, stakeholders, and external partners, ensuring timely and accurate exchange of information.
Documentation Management: Maintain project files, documents, and records, ensuring they are organized, up-to-date, and easily accessible to team members as needed.
Task Tracking and Follow-Up: Assist in tracking project tasks, deadlines, and deliverables, and follow up with team members to ensure tasks are completed on time and within scope.
Resource Management: Assist in coordinating project resources, including personnel, equipment, and materials, to support project activities and ensure efficient project execution.
Risk and Issue Tracking: Assist in identifying, documenting, and tracking project risks and issues, and escalate as needed to project managers for resolution.
Meeting and Event Coordination: Coordinate project-related meetings, workshops, and events, including scheduling, logistics, and preparation of materials.
Data Entry and Reporting: Assist in data entry and maintenance of project management tools and systems, and generate reports and updates as needed to support project monitoring and decision-making.
Quality Assurance: Support quality assurance activities by reviewing project deliverables for accuracy, completeness, and adherence to quality standards.
Team Support: Provide general support to project teams as needed, including assisting with research, analysis, and other project-related tasks.
Qualifications:
Organizational Skills: Excellent organizational skills with the ability to prioritize tasks, manage multiple deadlines, and work efficiently in a fast-paced environment.
Communication Skills: Strong written and verbal communication skills, with the ability to communicate effectively with team members, stakeholders, and external partners.
Attention to Detail: Keen attention to detail and accuracy in performing administrative tasks, documentation management, and data entry.
Teamwork: Ability to work collaboratively as part of a project team, supporting team members and contributing to the overall success of the project.
Proactive Attitude: Proactive and self-motivated with the ability to take initiative, anticipate needs, and problem-solve effectively.
Adaptability: Ability to adapt to changing priorities and requirements, and maintain flexibility in response to evolving project needs.
Technical Proficiency: Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools and software (e.g., Microsoft Project, Asana, Trello) is preferred.
Professionalism: Professional demeanor with a positive attitude, discretion in handling sensitive information, and commitment to maintaining confidentiality.
Customer Focus: Customer-focused with a commitment to delivering high-quality service and support to internal and external stakeholders.
