Job DescriptionJob DescriptionDescriptionThe Assistant Project Manager plays a pivotal role in ensuring the smooth operation of real estate projects by expertly handling three core areas: administrative tasks, assistance in project management, and legal/compliance responsibilities. This position demands a professional who can navigate the complexities of real estate development with a comprehensive skill set that includes strong detail orientation, organization, communication, and an understanding of legal and compliance issues related to real estate. The Associate will be instrumental in managing contracts, documents, and projects while ensuring compliance with legal standards and assisting in project management tasks. Their role encompasses a balanced blend of administrative support, project management assistance, and legal/compliance acumen, making them a vital asset to the team.

Key ResponsibilitiesProject Management Assistance:
  • Project Support: Assist in creating presentation materials for meetings and compiling materials for projects like hotel development and office leasing.
  • Task Management: Maintain a daily log of tasks, ensuring timely resolution.
  • Assemble materials in support of Leasing including work letters, lease exhibits, concept plans and schedules
  • Maintain project design narratives and schedules 
  • Prepare strategic recommendations for approval 
  • Schedule meetings and ensure that meeting materials are distributed in advance
  • Prepare project updates and reports to Comstock executives and the Board
  • Coordinate and assemble contracts, leases, development agreements 
  • Coordinate with outside consultants, architects, engineers, and attorneys to advance projects on schedule and on budget. 

Legal/Compliance Tasks:
  • Oversee contract setup in Yardi, ensure compliance with insurance requirements, and manage contract drafting and execution.
  • Conduct document reviews to extract relevant data and information, summarizing them as needed.
  • Ensure all activities comply with relevant legal and regulatory standards.

Administrative Support:
  • Handle digital correspondence and transmittals using modern software tools.
  • Schedule and organize meetings, prepare necessary materials using Microsoft Suite.
  • Manage project documents and company records, ensuring adherence to the corporate record retention policy.
  • Process expense reports and manage corporate cards, maintaining accurate time records.

Skills, Knowledge and Expertise
  • Bachelor’s degree in real estate development, urban planning, construction, engineering, or related field is a plus but not required.
  • A minimum of 3-5 years of experience in related role or field.
  • Ability to analyze data gathered and develop solutions or alternative methods of proceeding
  • Exceptional oral and written communication skills with the ability to effectively interact with all levels of management
  • Versed in Microsoft Office suite of products, in particular Excel
  • Ability to learn sector/project-specific software systems  
  • Must be highly credible and trustworthy, and operate with high degree of integrity
  • Must hold oneself and others accountable and strive for a high level of excellence
  • Must have a positive, can-do attitude and be able to fuel growth and innovation
  • Must be customer-focused and results-oriented
  • Must want to continuously learn and develop
  • Very strong professionalism and ability to work well in a team establishing good working relationships with others

  • Self-directed and able to work independently, with minimal supervision
