Purpose:

Provide general administrative support to the local HAEA AM Human Resources Manager/Supervisor in supporting a variety of human resources initiatives such as, policy administration and compliance, new hire onboarding, exiting, attendance tracking, recruitment support, planning and preparing presentation materials for training activities, event planning and coordination, general affairs/facility requests, and answering routine questions regarding human resources policies and procedures. May identify potential issues for further investigation by local HR Manager/Supervisor. Collaborates closely with the HAEA AM HR Supervisor/Manager, hiring managers, HAEA Recruitment team, applicants, and other HR personnel while providing prompt, courteous, and professional communication and resolution of all issues. This position will primarily support the HMGMA location; however, there will also be shared responsibility to assist with Regional activities.

Essential Functions:

60-70% HR and Administration

  • Plan and conduct new hire onboarding, exiting process, and present information and materials, ensuring I-9 and e-verify compliance and that all associated tasks are complete timely and within required deadlines and entered into systems.
  • Educate new hires and existing employees regarding Company, HR and client policies, HAEA AM attendance policy, safety/PPE guidelines and requirements, Teamwear/dress code policies, and ADP WFN timecard and time off request processes.
  • Respond to employee questions relative to standard policies, benefits, hiring processes, etc., referring more complex questions and policy interpretation to appropriate senior-level HR staff or management.
  • Maintain and ensure employment poster compliance with applicable government regulations for HMGMA.
  • Maintain and update employee records and personnel files in accordance to applicable federal and state laws; maintains the accuracy and confidentiality of human resources files and records located at HMGMA.
  • Conduct attendance tracking for HMGMA to include seeking clarification when needed and reporting of weekly findings to HAEA AM Supervisor/Manager.
  • Plan and coordinate HMGMA Company events and meetings focused on employee recognition and appreciation to include Town Hall/Year-End meetings, Company picnic, monthly birthday celebrations, team lunches, as well as morale boosting, wellness related and philanthropic events.
  • Provide general affairs and clerical support for HMGMA, such as facility/badge access, seating arrangements, Teamwear/PPE, and safety compliance.
  • Develop and maintain successful client relationships with HMGMA (human resources, team relations, safety/security, general affairs) and communicate any updates to the HAEA AM HR Supervisor/Manager, such as vendor relationships, Teamwear/PPE, site/badge access, seating arrangements, safety/OSHA, client policies (dress code, parking, emergency evacuation, personal device policy, etc.)
  • Performs periodic audits of personnel files and records, including I-9’s, e-Verify, data system comparison, to ensure compliance and accuracy for HMGMA.
  • Provide backup payroll administration support for HAEA AM when needed.
  • Identify and refer leaves of absence to HAEA AM HR Supervisor/Manager. May also provide backup support in this area when needed.
  • Respond to minor employee relations matters while working closely with the local HAEA AM HR Supervisor/Manager; escalating more complex matters to ensure prompt and appropriate resolution.
  • Ensure compliance with employment regulations, including FMLA, FLSA, ADAA, and EEO.
  • Respond to and promptly report workers’ compensation claims.
  • Identify and report any Management or employee training needs or areas of concern to the HAEA AM HR Supervisor/Manager.
  • Provide backup support for HAEA AM new hire and annual Child Labor and Immigration Law training.
  • Document and maintain administrative procedures for assigned HR related processes.

30-40% - Recruitment

  • Provide collaborative support to the HAEA AM HR Supervisor/Manager and the HAEA Recruitment team regarding HMGMA recruitment activities to include coordinating and facilitating interviews, contacting candidates, maintaining/enforcing processes, and obtain timely feedback from Management to ensure prompt and thorough processing of candidates.
  • Identifying candidates through various methods to include career fairs.
  • Participates in career fair activities, to include planning, research, attending events, and pre-screening and assessment of college candidates.  
  • Collaborate with the HAEA AM HR Supervisor/Manager and HAEA Recruitment team to plan and facilitate internship programs for HMGMA.
  • Conduct applicant interviews timely, proficiently, and professionally.
  • Maintain accurate records of active job openings and received applications and manage internal and external job postings for HMGMA.
  • Coordinate recruitment efforts with HMGMA trading resumes when applicable.

Basic Requirements:

  • Bachelor's Degree or equivalent education.
  • 5+ years of human resources experience
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Proficient with Microsoft applications including Word, Excel, PowerPoint, Outlook and Teams.
  • Knowledge of state and federal employment compliance law and guidelines required.
  • Must be comfortable with variety and able to prioritize multiple tasks and meet deadlines.
  • Strong organizational and time management skills with expert attention to detail.
  • Ability to maintain a high level of discretion and confidentiality and exercise good judgement under pressure and in sensitive situations.
  • Ability to collaborate in a team-based environment, providing excellent, friendly, and responsive customer service to employees and managers.
  • Ability to develop and maintain a deep understanding of our people, work, and culture.
  • Experience with ADP WFN Time and Attendance preferred.
  • Experience in applicable SAP database programs a plus.
