Role Title: Mailroom Coordinator
Job Summary: Performs administrative and department support activities for a busy mail room operation. Also fills in for the front desk during scheduled hours each day. Experience in MS Office is required, as well as general office, customer service, phone, and organizational skills.
Responsibilities:
- Open, sort and process a large volume of incoming mail via USPS, UPS, FedEx, etc.
- Weigh and meter all outgoing mail - bring mail to mailbox & drop packages in time for nightly express shipping.
- Open, sort and distribute incoming deliveries, mail and packages to the appropriate team members and departments.
- Maintain addresses in the UPS Shipment system. Notify the appropriate department of address changes needed.
- Relieve Front Desk during scheduled hours and provide back up during Time Off.
- Administrative duties as needed, including data entry, filing and resolving issues, support to other departments as needed.
- Keep the mail room stocked, in order and on schedule.
- Arrange the processing of mail in order of priority.
- Respond to inquiries made in Documents Inbox via Fresh Desk.
- Prepare and process Rentals requests received via Documents Inbox. Confirm the timely return and condition of returned Rental items. Notify accounting for billing of rental items.
- Assist Front Desk with maintaining the cleanliness of common areas, CP Lounge, coffee machines. Including the cleaning of CP Lounge refrigerators deep cleaning to dispose of expired items.
- Order UPS and Fedex supplies for the mailroom.
- Provide customer service to team members inquiring about documents, mail, etc.
- Politely and professionally handle telephone calls as this role is #2 in phone queue.
- Run weekly Magazine gift redemption report and prep and send redemptions gift items, via UPS, etc.
- When all orders are completed and prepped for shipping, submit a report in the system to show they are fulfilled.
- Fulfill franchise owner orders with the various vendor gifts with proper packaging material and mail via UPS, etc.
- Print and save UPS End of Day report every day.

This role is fully in-office, Monday-Friday.
