We are looking to place a senior-level Administrative Specialist to provide support for Department of Defense (DoD) programs in Washington, DC.

JOB DESCRIPTION:

  • Support a General Officer (GO) or Senior Executive Service (SES) civilian or similar role.
  • Provide support to Senior Executives that ensure effective use of time and productive interactions with staff and other military/government executives.
  • Handle a wide range of executive support-related tasks involving administrative functions, calendar management, travel planning, research, and management of tasks and projects.
  • Responsible for schedule management, office management, communication liaison, information preparation, office records management, and data analysis.
  • Uses discretion, judgement, and knowledge of organization to facilitate the executive's activities.
  • Conserves executive's time by reading, researching, prioritizing, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications.
  • Manages executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Completes and manages projects, distributes work to others, and follows up on results. Works closely with Executive Officer(s) and other assigned support staff.
  • Plans and orchestrates complex and detailed meetings and events at the Pentagon and National Capital Region locations.
  • Creates, organizes, and conducts support activities to plan and organize senior leader travel to include creating travel orders and booking accommodations, transportation, and other needed actions to begin and end travel.

JOB REQUIREMENTS:

  • Bachelor’s Degree.
  • Minimum of 4 years of experience leading office administration teams.
  • Experience supporting a GO/SES or similar role.
  • Executive support experience at the DoD headquarters level is highly desirable.
  • Experience with Air Force and/or DoD technical writing.
  • Knowledge of Federal, state, and/or local regulations and statutes, as well as Air Force or DoD regulations and documentation is preferred.
  • Ability to obtain and maintain a current SECRET security clearance is required.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and Access.
