The Accounts Receivable Specialist monitors payment deductions for key accounts, as assigned, and collects repayments as necessary to enhance customer profitability and cash flow.


Essential Duties and Responsibilities

  • Monitor the Accounts Receivable Aging Report and web portals for assigned accounts.
  • Identify and resolve open deductions stemming from various customer claims, including claims related to disputes over prices, discounts, shortages, returns, and delivery requirements.
  • Collaborate internally with team members from various departments, including Finance, Sales, Customer Service, and Operations to successfully research the validity of deductions.
  • Ensure Accounts Receivable balances are adjusted to properly reflect closed claims. Obtain all necessary documentation to support adjustments.
  • Submit claims to customers for the repayment of deductions that are deemed to be invalid. Track and monitor all open claims to ensure timely repayment.
  • Submit claims to freight carriers for customer deductions resulting from failures of service. Track and monitor all open freight claims to ensure timely payment.
  • Collaborate with various departments to identify trends and opportunities for process improvements related to customer disputes.
  • Provide backup support for the cash application and returns processing functions.
Requirements:
  • High school diploma/GED required; Bachelor’s degree preferred
  • Minimum 2 years related work experience in the fields of accounting, sales support, or operations
  • Experience in a high-volume environment within the wholesale industry strongly preferred
  • Prior experience in customer communications is strongly preferred
  • Experience with collections helpful
  • Proficient with Microsoft Office; Excel, Outlook, etc.
  • ERP system experience is required.
  • Ability to build strong customer and staff relations with integrity, care and compassion
  • Excellent listening, verbal and written communication skills
  • Self-motivated and the ability to work in a team environment; maintain a positive and respectful attitude
  • Ability to respond to common directions. Ability to read, write and speak English. Ability to effectively present information.
  • Adhere to Company Policy and Procedures
  • Perform duties as workload necessitates
  • Communicate regularly with supervisor about Department issues
  • Demonstrate flexible and efficient time management and ability to prioritize workload
  • Consistently report to work on time prepared to perform duties of position
