We are hiring an Administrative Staff Specialist Seniorfor one of our clients in Ewing, NJ.

Job Description:

The Public Health, Office of the Directors is seeking a meticulous Secretarial Assistant 3, Non-Steno to provide essential support to the Division Director and the Medical Director. This is crucial role in the laboratory and a key position for ensuring the Division's success. Key responsibilities for This role are

  • Organizing and maintaining the directors' schedule
  • Communicating with the Office of the Commissioner and the Deputy Commissioner.
  • Ensuring the Division is compliant with departmental policies, processes and procedures.
  • Enhance the overall efficiency of our business by ensuring the timely and efficient completion of all assigned tasks.
  • Prepare correspondence from written drafts for the review and signature of the Laboratory Director.
  • Prepare statistical and other reports track budgets, grant applications, etc. as required.
  • Make travel arrangements for speaking engagements, hearings, conferences, and meetings.
  • Create the travel packages for approval.
  • Act to relieve the Laboratory Director of detail by providing information in response to routine inquiries from division personnel, representatives of state, local and other groups, organizations, agencies and the general public.
  • Obtain pertinent information from files and other sources to put into usable form in response to inquiries.
  • Responsible for following-up on all pending matters with the Laboratory Director's core staff to determine status until completion of assigned tasks.
  • Prepare meeting agendas and related informational packets for distribution to meeting participants and interested parties.
  • Take meeting/conference minutes/notes; transcribe type and submit for review for distribution to all interested parties.
  • Maintain program files on pending matters, materials for meetings, correspondence, etc., including a follow-up tickler file.
  • To be successful in this role the candidate must possess exceptional communication, organizational and time-management and possess the ability to multi task to handle multiple responsibilities efficiently.
  • Your diligence and competence will allow the directors to focus on their managerial duties without distractions.

Experience required:

  • EXPERIENCE: Five (5) years of experience in secretarial and administrative clerical work
  • NOTE: Successful completion of a clerical training program with a minimum of700 classroom training hours or thirty (30) semester hour credits in secretarial science from an accredited college or university may be substituted for one (1) year of the experience indicated above. Course work must include typing skills, methods and procedures; other courses may include, but not be limited to, office procedures, word processing, and business English

Work hours:

  • 8:30-4:30 pm
  • Lunch period:1 hour (Unpaid)
