Summary: The Commercial Banking, Administrative Manager/Director will oversee and manage the administrative functions of the Commercial Bank as it relates to Loan Closing, Portfolio Management, Data Quality and Reporting. They will be responsible for the management and oversight of all Commercial Banking reporting, processes, and procedures. The incumbent will possess a strong understanding of Commercial Banking portfolio management, loan documentation, analyzing pricing strategies regarding standardization of loan fees, evaluating data governance controls, and assisting with reviewing and adjusting related policies, procedures, and practices to ensure compliance, efficiency and effectiveness of the Bank's commercial banking products. Builds relationships and interacts with key control functions across the organization such as Compliance, Legal, Operational Risk and Internal Audit to ensure policies and procedures are adhered to by the Commercial Banking line of business. Exercises the usual authority of a senior manager concerning staffing, training, performance evaluations, discipline, and salary recommendations. Job Responsibilities:

  1. Commercial Loan Closing Oversight
  • Maintains current knowledge of regulatory agency guidelines, state and federal laws governing commercial loan closings for New Jersey, New York, and Pennsylvania.
  • Monitors the effectiveness of the front to back-end processes for Commercial Banking operations.
  • Ensures loan closing transactions are efficiently distributed among all closers and processed in a timely manner. Monitors work to confirm loan closings are completed accurately and resolves any unusual or complex problems.
  • Oversees all post-closing activities to guarantee the accuracy of loan data onboarded to the Bank’s core system, the receipt of all required loan documentation, and that all loan documents are uploaded to the Bank’s image archive.
  • Reviews closing pipeline reports for accuracy and to drive loan closings to a timely conclusion.
  • Works with system specialists and the IS Department to implement changes to the origination system for Closing / Post Closing functions.
  1. Commercial Banking Portfolio Management Oversight
  • Maintains current knowledge of OCC Regulations, local and national economic, financial, political, and legislative trends. Determines the possible impact on commercial lending activities and collaborates with internal stakeholders on early problem detection, risk management processes, and improving capital efficiency.
  • Ensures the oversight, monitoring, and integrity of all portfolio management activities, while aiding with risk management processes, problem recognition, and improving capital efficiency.
  • Monitors and manages the integrity of the loan portfolio including:
    1. Loan documentation accurately represents the terms of the credit approval memorandum and permits the Bank to enforce its rights on the collateral in the event of default.
    2. Internal Credit Ratings are current and accurately reflected in the reporting systems.
    3. Financial covenant and financial reporting trackers are accurate.
  • Manages the timely completion of Annual and/or Interim Reviews, increases, renewals, and amendments for all loans in the portfolio.
  • Spreads financial reports and underwrites complex new loans requests and modifications, as needed.
  1. Reporting
  • Leads team in the production of daily, weekly, and monthly Commercial Loan Reports.
  • Ensures accurate and timely updates of pipeline and Portfolio Management metrics and reports.
  • Contributes to regulatory reporting and various committee reporting, as needed.
  • Reviews Document Exception and Delinquency reports to ensure exception loan status are resolved timely.
  • Controls accuracy and timeliness of data input to reporting systems.
  1. Continuous Improvement and Compliance
  • Reviews and maintains policies and procedures and recommends changes and improvement to loan closing and portfolio management processes.
  • Ensures the Bank’s closing policies and procedures are in compliance with all governmental regulations and reporting requirements.
  • Builds relationships and interacts with key control functions across the organization such as Compliance, Legal, Operational Risk, and Internal Audit to ensure policies and procedures are adhered to by the Commercial Banking line of business.
  • Implements policy and procedure improvements by working closely with the Lending, Portfolio Management, Commercial Closing, Credit, and operations teams.
  • Coordinates the review and remediation of all identified issues ensuring the appropriate root-cause analyses are completed and action plans are implemented timely.
  1. Leadership and Team Development
  • Plays an instrumental role in developing and training all staff members.
  • Coordinates with the Learning & Development team to develop customized training, review compliance learning and/or attend webinars/trainings. Recommends additional training where needed.
  • Ensures all Commercial Banking team members have the requisite skills necessary to adequately perform their duties based on the requirements outlined in all procedure manuals as well as based on the results of Quality Assurance Reviews.
  • Exercises the usual authority of a senior manager concerning staffing, training, performance evaluations, discipline, and salary recommendations.

Job Requirements:

  • Bachelor’s degree required. Master’s or Law degree is a plus.
  • Minimum of 5-10 years of lending and/or credit analysis experience; 5-10years managing portfolio managers; 5-10 experience documenting and closing C&I and Commercial Real Estate transactions.
  • Knowledge of banking regulations, lending policies, and well demonstrated understanding of loan risk factors.
  • Significant accounting or financial knowledge. Formal credit training a plus.
  • Possesses strong interpersonal and diplomacy skills to negotiate internally, and occasionally with external customers.
  • Highly analytical and detail oriented with ability to problem solve.
  • Ability to recruit, train, and mentor teams of professionals.
  • Effective oral and written communication and presentation skills.
  • Strong customer service orientation.
  • Results oriented and works well in a team environment.
  • Ability to meet deadlines and manage expectations.
  • History of community involvement through volunteerism and/or representation through charitable organizations.
