Position Summary

Responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. Acts as the first point of contact for internal inquires on printing and scanning and will provide administrative support across the organization. Responsible for providing administrative support to an individual or team.

Responsibilities:

  • Process incoming statements and facilitate the redirection to the main scanning facility.
  • Timely production of all printing and mailing requests received via multiple EGPS sources.
  • Support EGPS phone lines, answering and redirecting calls.
  • Annual notice support for workflows, and creation and delivery, if necessary.
  • Manage any necessary inbox communication.
  • Collects, reviews, and analyzes data and prepares reports, charts, budgets, and other presentation materials utilizing word processing, spreadsheet, or specialized software.
  • Prepares and distributes reports or other communications on a regular schedule.
  • Maintains files, databases, and archives of relevant records.
  • Screens emails and calls and responds to or routes routine inquiries from external or internal sources with appropriate correspondence or other messaging.
  • Schedules and coordinates meetings, travel, and other group activities.
  • Assist the marketing department as needed.
  • May manage expense reporting, invoicing, office supply inventory, or other routine processes.
  • Manages email correspondence and/or physical mail correspondence.
  • Supports special projects.

Required Qualifications:

  • Highschool diploma or equivalent.
  • 2-6 years of related experience.
  • Excellent multi-tasking and organizational and word-processing skills.
  • Knowledge of Microsoft Office Suite.
  • Ability to learn new processes and software programs quickly.
  • Highly organized.
