The Outreach Coordinator will have a hybrid schedule in this part-time role, balancing role independence and team connection throughout the week.


What You’ll Do:

  • Represent Counseling Works with warmth and professionalism.
  • Partnership Identification and Relationship Development - source and connect with local healthcare related organizations, professional business offices and schools to explain the benefits of working with Counseling Works.
  • Market Analysis and Strategy - working knowledge of market trends in mental health services to further our referral sources.
  • Client Relationship Management - maintain accurate tracking of contacts, manage our CRM (KEAP), and gather feedback from connections.
  • Partner with Clinicians - work with our talented clinical team to broadcast their services in the community.
  • Create and Implement Full Cycle Referral Process - track referral organizations, communication methods, and client referrals to ensure achievement of established KPIs.
  • Other general administrative tasks to be determined, or as assigned.

 

Knowledge, Skills, Abilities:

  • Autonomously facilitate and maintain activity and result levels for the established Key Performance Indicators (KPI’s); including client referrals and appointments scheduled.
  • Meet and/or exceed the number of professionally referred patients to the clinics measured by increased revenue & appointments booked through independent work and in collaboration with the outreach and clinic teams.
  • Obtain and manage referral sources from segments including, but not limited to: physicians, therapists, social services, attorneys, hospitals, professional organizations, mental health centers, etc. through a variety of activities such as personal appointments, meetings, phone calls, tours, emails and events/conferences
  • Research, analyze, and monitor financial, technological, and demographic factors to capitalize on market opportunities and minimize effects of competitive activity
  • Make customer-focused decisions, both independently and with the support and direction of management
  • Accurately scope out length and difficulty of tasks and projects; set objectives and goals; break down work into process steps; develop schedules; anticipate and adjust for problems and roadblocks; measure performance against goals and evaluate results.
  • Must be effective in a variety of formal presentation settings: one-on one, small and large groups, with peers and direct reports
  • Actively demonstrate a dedication to meeting the expectations and requirements from internal and external customers; get firsthand information and use it for improvements in Counseling Works services with a customer/client first mentality
  • Organize and coordinate community events, and in-service professional events
  • Implement monthly, seasonal and annual marketing strategies, and evaluate results accordingly
  • Provide weekly and monthly activity and accounts reports to supervisor
  • Cultivate and maintain strong relationships with key stakeholders, healthcare providers, corporations, schools, and community organizations
  • Call and email prospective client sources
  • Visiting and meeting with prospective client sources virtually and in-person in our service area
  • Converting outreach into clients who contact and receive service at our practice
  • Collaborating with our team to ensure a seamless client experience and alignment with our practice’s values and goals
  • Proficient at Excel and G-Suite apps (Gmail, Google docs, spreadsheets, forms, etc.), using Apple Products (Ipads, Macs, Iphone), client management type software, basic level skills in the use of PowerPoint.
  • Timely follow up on all professional inquiries and leads (within 24 business hours)
  • Requires ability to travel locally on a regular basis
  • Working knowledge of the mental health field, confidentiality for patient health information, and HIPAA-compliance.

Reports to: Stacey Castellaneta, Director of Operations


Schedule: 20 hours/week, business hours; hybrid (combination of local travel, in office and remote locations)


Education & Experience Requirements:

  • Minimum of associate level collegiate degree in sales, marketing, healthcare, office administration, hospitality, or similar field. 
  • Must have reliable transportation for travel in the general area of our office locations.
  • Willing to work business, daytime hours.
  • Complete comfort in introducing and explaining our services to others.
  • Prior experience with mental health in some capacity is a plus but not required.


Compensation

  • $22/hour
  • Mileage Reimbursement for Travel
