Safeway Tax Relief is seeking a diligent Billing Specialist to join our team. This role is essential for maintaining the financial health and client satisfaction of our company. As a Billing Specialist, you will focus on managing client payments, ensuring accurate documentation, and facilitating the resolution process for our clients.


Key Responsibilities:

  • Collection Calls for Resolution Phase Clients:
    • Proactively contact past due clients in the Resolution phase, aiming to secure timely payments.
    • Employ effective communication strategies to emphasize the urgency of settling overdue payments.
  • System Documentation:
    • Promptly log all client interactions in IRS Logics, ensuring comprehensive and accurate account records.
    • Maintain meticulous documentation to support the resolution process and track account status.
  • Payment Rescheduling and Negotiation:
    • Evaluate clients' financial circumstances to adjust payment schedules accordingly.
    • Negotiate payment terms while aiming to maximize today's collection, balancing client needs with our financial objectives.
  • Resolution Timeline Management:
    • Stress the importance of updating payments within the resolution timeline to deliver timely results to clients.
    • Work with internal teams to smoothly transition clients from collections to resolution phases, focusing on customer satisfaction.
  • Preliminary Phase Collections:
    • Address past due accounts in the "Investigation Phase," aiming to mitigate delinquencies early in the process.
    • Initiate communication with clients to prevent the escalation of overdue accounts.
  • Mathematical Skills:
    • Utilize strong mathematical skills for recalculating payment schedules during client discussions.
    • Ensure clear communication regarding payment agreements to foster mutual understanding.
  • Team Management and Training:
    • Oversee and mentor both sales support and collections specialists, promoting a collaborative and high-performance team environment.
    • Encourage continuous skill development and improvement among team members.
  • Client Interaction and Communication:
    • Manage payment-related correspondence with professionalism, ensuring client satisfaction.
    • Utilize various communication methods (email, voice mail, text) to engage with clients effectively.
  • Loan Process Oversight and Financial Data Management:
    • Oversee the loan process, ensuring accuracy from application to payment scheduling.
    • Manage financial data using tools like Google Sheets, assisting the sales team in performance tracking.
  • Collections and Client Engagement:
    • Engage with clients on overdue payments, negotiating payment rescheduling when necessary.
    • Coordinate with Case Managers on client-specific financial arrangements.
  • Continuous Improvement:
    • Actively participate in initiatives to enhance sales support efficiency and effectiveness.
    • Stay updated on industry best practices, applying this knowledge to optimize team performance.
