Job Type: Full-time

Pay: $28-$30 per hour

Schedule: M-F, 8:00 am - 5:00 pm.

Everyday Will Be Different but Your Primary Duties Include:

  • Gain full working knowledge of the Association ‘s rules and regulations.
  • Greet and direct all visitors to the building in person or via phone/ email.
  • Respond promptly to voicemail, phone calls and email. Deliver all memos to residents in the Association in a timely and professional fashion.
  • Send informational emails to the association members as well as posting important notices in the clubhouse in a timely and professional fashion.
  • Remain up to date on association happenings, attend in person board meetings and take minutes as needed.
  • Maintain a daily communication log to keep all staff in the loop, and to share with the board of directors and Association Business Manager as needed.
  • Maintain an up to date records of all owners, tenants and other important contacts.
  • Maintain a log of Garage door openers, Key Fobs
  • Facilitate the handling of complaints or grievances by responding in a timely and professional manner. Work with Association Business Manager for enforcement when needed.
  • Assist with budget preparation research to include vendor follow up for increases, contract tracking for expiration/renewal, recommendations of staff increases/performance.
  • Conduct weekly site inspections for violations. Send violation letters to owners who are not in compliance.
  • Assist with registering new vendors on Net Vendor as requested by Association Business Manager.
  • Strongroom: Invoice review/approval for invoices under $5k, excluding staff payroll invoices, insurance, ins. claim invoices, or any questionable that need escalation.
  • Participate in Reserve study discussions/onsite strategic project meetings.
  • Maintain a clean and organized front desk at all times.
  • Act as security for the building and regularly check exterior doors and report if left open; monitor cameras.
  • Coordinate vendors and contractors entering the Association.
  • Schedule/maintain a move in/out calendar for the Association.
