Job Summary:

The Staff Accountant oversees making payments owed by the company to suppliers and other creditors, paying vendor invoices or bills, and recording the company’s short-term debts. The Staff Accountant also oversees payments owed to the company by clients for goods and services received. Additionally, this individual is responsible for the financial, administrative, and clerical support of the company.

Supervisory Responsibilities:

Does not have any direct reports.

Essential Duties and Responsibilities:

· Post business transactions, process invoices, verify financial data for use in maintaining accounts payable records.

· Provide other clerical support necessary to pay the obligations of the organization.

· Clarify any questionable invoice items, prices, tax rates, or receiving signatures.

· Assemble and review invoices to be completed for payment.

· Obtain proper information and/or data regarding invoice payments.

· Invoice daily tickets, paving, and railroad operations.

· Collaborate with the sales team, scale operators, truck dispatch, and project managers to ensure the accuracy of invoices.

· Manage customer relationships to resolve billing discrepancies.

· Maintain tax exemption certificates.

· Prepare, post, verify, and record customer payments and transactions related to accounts receivable.

· Maintain and update customer files, including name or address changes, mergers, or mailing attentions.

· Draft correspondence for standard past-due accounts and contact delinquent accountholders to request payment.

· Create reports regarding the current status of customer accounts as requested.

· Research customer discrepancies.

· Reconcile revenue accounts each month.

· Copy, file, and retrieve material for accounts receivable as needed.

· Relay changes of information to appropriate employees.

· Will provide backup duties for other accounting department staff in their absence.

Required Skills/Abilities:

· Excellent analytical and problem-solving skills.

· Software technical skills: Proficient with MS Office.

· High level of confidentiality and integrity.

Education and Experience:

· High School Diploma or GED is required.

· An Associate’s degree in Accounting, Finance, or a related field and a minimum of 5 years of related experience is preferred.

Physical Requirements:

· Prolonged periods of sitting at a desk and working on a computer.

· Must be able to lift up to 15 pounds at times.
