We are seeking an experienced Scheduling Manager for our home health client.


Job Title: Home Health Scheduling Manager

 

Job Overview: As a Scheduling Manager, you will be responsible for overseeing and managing the scheduling processes within the organization. You will coordinate schedules for employees, appointments, and resources to ensure smooth and efficient operations. The role involves liaising with various departments, communicating schedules effectively, and optimizing resources to meet business objectives.

 

Key Responsibilities:

  1. Schedule Coordination:
    • Develop and maintain scheduling systems to ensure optimal allocation of resources, including employees, equipment, and facilities.
    • Create and manage employee work schedules, considering factors such as, availability, skills, and workload requirements.
    • Coordinate appointment schedules for clients, meetings, and other events, ensuring timely and efficient utilization of time and resources.
  2. Communication and Collaboration:
    • Liaise with department managers, team leads, and other stakeholders to understand scheduling needs and priorities.
    • Communicate schedules to employees, clients, and relevant parties, providing clear instructions and updates as needed.
    • Collaborate with HR to address staffing needs, scheduling conflicts, and employee requests for time off or schedule changes.
  3. Optimization and Efficiency:
    • Analyze scheduling data and trends to identify opportunities for optimization and efficiency improvements.
    • Implement strategies to streamline scheduling processes, reduce downtime, and minimize conflicts or overbooking.
    • Monitor and adjust schedules in real-time to accommodate changing priorities, emergencies, or unexpected events.
  4. Quality Assurance:
    • Ensure the accuracy and integrity of schedules by verifying information, resolving discrepancies, and maintaining up-to-date records.
    • Conduct regular reviews and audits of scheduling practices to identify areas for improvement and compliance with organizational policies and regulations.
  5. Training and Support:
    • Provide training and support to staff members on scheduling systems, processes, and best practices.
    • Offer guidance and assistance to employees and managers in resolving scheduling issues, conflicts, or challenges.
  6. Reporting and Analysis:
    • Prepare reports, metrics, and analysis related to scheduling performance, including key performance indicators (KPIs) and productivity metrics.
    • Present findings and recommendations to management to support decision-making and strategic planning initiatives.

Qualifications and Skills:

  • Bachelor's degree in Business Administration, Management, or a related field (preferred).
  • Proven experience in scheduling, workforce management, or related roles.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with the ability to collaborate across teams and influence stakeholders.
  • Analytical mindset with proficiency in data analysis and problem-solving.
  • Familiarity with scheduling software and tools, such as Microsoft Excel, Google Calendar, or dedicated scheduling platforms.
  • Attention to detail and accuracy in managing schedules and maintaining records.
  • Ability to adapt to changing priorities and work well under pressure in a fast-paced environment.
