What you'll do…

  • After an event contract has been signed, review the contract and plan the type of function, including number of guests, event layout, and special needs for the event
  • Conduct general site tours when needed, providing basic overview of guest rooms, and resort facilities
  • Actively track various due dates and important follow up items for payments, menu and event timelines
  • Assist in the coordination of all assigned groups, events, and FAM trips
  • Prepare Group Summaries and participate in related review meetings on a consistent basis
  • Acts as an active member of the team, assist with brainstorming, team building events, group activities and more
  • Manage amenities: prepare personalized and standardized note cards, process requests in a timely manner to appropriate departments, keeps managers up to date on amenity due date and, when necessary, includes trips to town and special efforts to customize a group amenities
  • Coordinate with Events department to prepare and finalize Banquet Event Orders (BEO) and Event Checklist ten days prior to event
  • Coordinate with group contact, Event Chef, and Event team to deliver quality food and beverage needs for the event
  • Order, receive and verify rental equipment, flowers, decorations, as well as other event needs
  • Manage and monitor all third-party vendors and ensure contracted work is fulfilled
  • Develop and maintain computer files for all events including items such as contracts, banquet events orders, purchase orders, check requests, expenses, brochures, reports, etc.
  • Post final payment and send final invoice with individual tickets to client for review at the conclusion of the event and within the time frame
  • Handle client/guest complaints and problems in a professional manner to ensure a successful outcome
  • Remain abreast of industry trends and changes that may affect or enhance the offerings and/or profitability of the resort
