Strategic Intent

Bill and collect all revenue owed to the hotel in an accurate, assist AP on processing invoices, timely manner in accordance with accounting policies and procedures.

Organizational Structure

REPORTS TO: Assistant Finance of Director & Accounting Manager

General Duties and Responsibilities

  • Review turnover and ensure deposits are received for events; set up new accounts in accordance with established credit policy.
  • Follow up with conference service manager and sales team to any uncollected deposit
  • Be familiar with DC tax exemption and ensure back up is collected for tax exempt groups
  • Create invoices in property management system and ensure all of the back up are saved in the folder and reconcile
  • Reconcile and clear open account status items in a daily basis
  • Conduct bi-weekly credit meeting
  • Attend resume meeting and communicate to the different department to address any questions
  • Assist any guest inquiries
  • Post city ledger payments in property management system, reconcile and bill all city ledger accounts. Perform follow-up billing and credit collection documentation and inform upper management of any potential uncollectible accounts.
  • Reconcile payment received with property management system in a monthly basis
  • Investigate on any invalid credit card refund
  • Process approved guest refund
  • Review and respond any chargebacks and reconcile the chargeback GL
  • Perform any other job related duties as assigned
  • Comply with attendance rules and be available to work on a regular basis.

Experience and Requirements

  • 2+ years of AR and/or AP experience in accounting, preferably hotel specific experience.
  • Must possess superior computer skills, in particular with Excel and MS Office; those with on-property management systems experience will be favored.
  • Knowledgeable in hotel property management is a plus
  • Bachelor's Degree in Accounting/Finance is required.
  • Must have strong communication skills with fluency in English (verbal and written).
  • Must be a demonstrated team player with a commitment to delivering their best every day.
  • Those with pre-opening hotel experience will be preferred; those with direct luxury hotel experience will be strongly favored.
  • Must be able to work a flexible schedule to accommodate the business demands of a 24/7 operation.
  • Must be willing to “pitch-in” and help co-workers with their job duties and be a team player.
  • Strong organizational skills with attention to detail.
