Important notes:
This person needs to be a strong analyst who will also process payroll and can review the payroll specialist's work(when it gets to heather she wants to make sure everything lines up and she can just sign off). They need to be able to own the Canadian payroll but they will be doing US multi-state payroll as well. Degree would be good but with a lot of experience and if they match up everywhere else then it's not necessary. The volume is 2500-2700 so they need to be strong high volume processing. This role sits in the Federal Street Andover office, not the North Andover office. Heather really stressed this person needs to be professional and a good true analyst.

POSITION SUMMARY:

Reporting to the Payroll Manager, the Sr. Payroll Analyst is responsible for the administration of the day-to-day payroll operations and accuracy of one weekly and 11 bi-weekly US and Canada multi-state payrolls working in a team environment.

This person will be the primary point of contact for employees and managers to answer urgent payroll related questions and offer solutions in a timely manner.

The Sr. Payroll Analyst also oversees the maintenance of all primary functions in UltiPro Core Payroll and Time and Attendance (UTA) Systems.

This individual will partner with Finance and HR to complete special projects and reporting as needed.

PRINCIPAL RESPONSIBILITIES AND DUTIES: 
 

  • Take ownership for the timely and accurate processing and auditing of all payroll data for hourly and exempt employees on both weekly, bi-weekly and semi-monthly pay cycles using UKG Pro before finalizing payroll. This is to include, but is not limited to, hours worked, tax information, direct deposit information, department allocations, pay adjustments, new hires, and terminations.
  • Take ownership of the Canada payroll processing transitioning to the US in Summer 2024, primary contact for our Canada HR business partners and employees
  • Administer wage garnishments, and make certain deductions are being taken in accordance with jurisdictional requirements.
  • Ensure accurate reporting and tax withholding on employee wages, benefits, etc.
  • Process expense reimbursements from Workday to UltiPro. Work with Shared Services to reconcile any discrepancies.
  • Preparation of detailed journal entries for posting to General Ledger.
  • Respond to employment verification and unemployment insurance claim inquiries
  • Prepare/assist with quarter-end and year-end agency reporting, audits and adjustments.  Assists with tracking and monitoring the resolution of employment tax notices.
  • Subject matter expert for UKG Pro’s Time & Attendance system (UTA) and setup and maintenance of all PTO Plans including Union. Demonstrates expertise in troubleshooting of online timekeeping system with the ability to interpret and understand complex calculations of pay policies. Primary contact for employee assistance with time sheet errors and training, fielding questions regarding pay. 
  • Maintain and process positive pay and 401k interfaces to and from UKG Pro.

EDUCATION:
Bachelor’s Degree in Accounting or Management or equivalent combination of education and experience.

EXPERIENCE:

Minimum 5 years of experience processing Canada and multi-state payrolls with varying degrees of complexity and multiple payroll frequencies.

MINIMUM REQUIRED SKILLS:  

  • Excellent verbal and written skills are essential in this position. 
  • Ability to provide confidential information to employees, HR Business Partners and other internal/ external audit team
  • Ability to be pro-active following up with employee and outside party requests in a timely manner and addresses errors and concerns
  • Analytical ability is required in support of regulatory compliance, policy/procedure review which results in process improvement and systems maintenance. 
  • Ability to work in a fast-paced, deadline driven environment, with little supervision.
  • Must be customer-focused and results-driven with an emphasis on quality, detail, and accuracy.
  • Strong interpersonal, organizational, problem solving and process improvement skills.
  • Requires a professional demeanor and the discretion to know sensitive details and keep them confidential. 
  • Strong background in Accounting.
  • Extensive knowledge of ERP, HRIS and Time & Attendance systems. Workday, UKG Pro and UTA preferred.
