About us:
Conditioned Air Mechanical is a full-service HVAC mechanical contractor designing and installing HVAC systems for new construction and service/replacement in the commercial and large residential home and high-rise building sectors.

We are seeking an experienced Accounts Payable Specialist to join our team. The ideal candidate will be responsible for managing all payments due by the company, ensuring accuracy and timeliness in processing financial transactions.

Responsibilities

  • Weekly Payroll: expert understanding of how to calculate overall employee deductions and withholdings and regularly check for accuracy
  • Process accounts and incoming payments in compliance with financial policies and procedures
  • Perform day-to-day financial transactions, including verifying, classifying, computing, posting, and recording accounts payable data
  • Reconcile the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted
  • Prepare and submit weekly/monthly reports or as needed
  • Assist with month-end closing activities
  • Collaborate with entire office staff to resolve discrepancies
  • Maintain vendor relationships and address inquiries
  • Occasionally answer phones from customers, vendors, service technicians etc.
  • Order supplies for internal office staff

Experience

  • Expert understanding of working within a fast-paced office environment
  • Proficiency in financial concepts, tax regulations, data entry, payroll management, and general ledger accounting
  • Experience with Accounts Payable software such as QuickBooks
  • Microsoft Office Suite expert i.e. Word, Excel and Outlook
  • Strong attention to detail and accuracy in processing financial information
  • Excellent organizational skills and ability to prioritize tasks effectively and swiftly
  • Effective communicator; work with all levels of the operation i.e. technicians, office staff, warehouse and management.
  • Experience with Service Titan a plus
  • You're coachable, ethical and dependable.

Individual must possess a willingness to learn and demonstrate strong attention to detail. Must work to escalate discrepancies quickly and move with a sense of urgency.
