Reporting to the Controller, this role is vital to our team, assisting the department/company in many aspects.  This position offers a unique professional growth and development opportunity as a multifunctioning role. You will be responsible for supporting tasks of the bank, credit card, general ledger reconciliations, accrual entries, invoicing, supplier payments, journal entry processing, and in-progress accounting within NetSuite. Tasks will also include assistance with contracts and maintaining various documentation. HR queries, audits, and payroll assistance will sometimes be needed. Support will also be provided to all departments assisting the Controller, Project Management, and Human Resources. DUTIES/RESPONSIBILITIES

  • A/R – Generate monthly (SaaS) annual (ASM) to customers using NetSuite Software.
  • A/R Collections.
  • Customer’s account reconciliation – credit calculation.
  • Maintain customers’ accounts; current contact information.
  • Update live dates from project management into various spreadsheets.
  • Perform month-end reconciliations and prepare month-end journal entries.
  • Assist with month-end and year-end financial reporting.
  • Customer service - fulfilling customer requests such as quotes, W9, and ACH forms.
  • Manage the day-to-day incoming and outgoing mail.
  • Generate daily deposit email & saving remittance advice documents.
  • Maintain files: contractor, vendor, personnel, insurance.
  • Assist with all HR audits and records for appropriate paperwork and compliance. (ex. Work Comp, General liability).
  • Assist with Cash Projections.
  • Assist with payroll journal entries.
  • Assist with Budget.
  • Assist with any projects assigned by any department request.
  • Assist with developing, organizing, and providing training and compliance updates.
  • PTO reconciliation.
  • Special projects.
  • Some off-site work may be required. Some travel may be needed.
  • Perform other related duties as required.

  • Excellent project management skills, with the ability to deliver multi-faceted projects on time.
  • Experience working with internal and external creative resources to assist all departments as needed.
  • Strong communication, research, presentation, and creative skills.
  • Ability to research, translate findings, and present to all audiences.

TECHNOLOGY

  • Expertise using NetSuite Software.
    • Project Revenue, recognition, budgeting, financial reporting, and daily general ledger activity.
  • Expertise in Microsoft Office Suites.

EDUCATION

Associate’s degree or minimum of 3 years equivalent practical experience within accounting. Certification within related fields is desirable but optional.
