Our client, a growing construction/design firm, is seeking an experienced and business-savvy  Associate with HR, payroll, operations, and project responsibilities. This position is crucial to operations, ensuring the smooth and efficient management of payroll, open enrollment, 401K and other HR-related tasks. The temporary position covers a maternity leave for 3-6 months and requires 15-20 hours/week in the office. 

Key responsibilities include: 

Payroll Management 

  • Process bi-weekly payroll for all employees accurately and on time. 

  • Maintain payroll records and ensure compliance with federal, state, and local regulations. 

  • Address and resolve any payroll discrepancies or issues 

  • Coordinate with the accounting department to ensure accurate financial reporting. 

 

Benefits Administration: 

  • Manage annual open enrollment process, contributions, and distributions for the company’s benefits program. 

  • Liaise with the 401K plan provider to ensure compliance and address employee inquiries. 

  • Maintain up-to-date records of employee participation and manage periodic reporting requirements

 

Operations:

  • Ensure the smooth operation of the office, overseeing administrative team members, vendor contracts, and facilities 

  • Prepare and distribute company communications and documentation as needed. 

  • Track all personnel activities and report on HR metrics like job openings, applicants, interviews, hires, transfers, promotions, and terminations. 

  • Update employee status changes, organizational charts, directories, etc. 

  • Act as the primary point of contact for staff, handling PTO requests and other HR-related inquiries. 

  • Maintain confidentiality and handle sensitive information with discretion. 

  • Participate in budget discussions

  • Contribute to a strong office culture through employee engagement and employee events

  • Ensure project timelines and deliverables are met, providing operational guidance, as required. 

Qualifications: 

  • 2+ years of relevant HR/Payroll/Operations experience. 

  • Familiarity with 401K program administration. 

  • Strong organizational skills and attention to detail. 

  • Excellent communication, problem-solving, and interpersonal skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), payroll and HRIS software. 

  • Ability to multitask and manage time effectively in a fast-paced environment.
