About Us

Hepner & Pagan, LLP is looking for an experienced administrative or marketing professional to serve as our Operations and Intake Coordinator at our family law firm in Campbell. This role is critical to the success of our firm.  Responsibilities include managing the day-to-day operations of the firm, being the first point of contact for all new prospective clients, managing development and client relations, coordinating with the marketing team and supporting the administrative staff and firm as needed  Overall, you are keeping the firm in check, including the partners.

Responsibilities:

  • Acting as the first point of contact for new prospective clients.
    • Ensuring in-bound calls are masterfully handled
    • This includes the initial intake of prospective clients as well as the onboarding process of new clients.
    • Tracking referral sources and tracking data for the marketing team.
    • Opening and closing client files
      • Including setting up on Clio, Clio Draft and providing summaries to attorneys re: new client status.
  • Managing the Attorney’s calendar along with the receptionist to ensure quality case management.
  • Managing and staying on top of outstanding client bills and collections.
  • Working with our outside vendors and service providers and ensuring bills are paid on time. Investigating new vendors when necessary.
  • Keeping role-specific training manuals updated as needed.
  • Ability to take on projects as they become required.
  • Temporarily, there may be some filing and compiling of court documents in the early stages of this position. This position may evolve and we need someone to be prepared to grow with us

Experience needed to take on this role/minimum qualifications:

  • Bachelor’s degree with 2 years of experience as a manager or legal assistant in a law firm.
  • Experience with Clio is a plus, but not required.
  • Experience with Mac-based software, Outlook, and Adobe.
