Job DescriptionJob DescriptionScottsdale property management firm needs a talented Assistant Property Manager to join their corporate team. The ideal candidate must have at least 2 years of administrative and accounting support experience in a professional environment, and will have experience supporting AP and AR functions in QuickBooks. Any familiarity with reading and interpreting contracts, lease or other legal documents is a huge plus. This small office has a family feel, offers great benefits and has room for professional growth.
  • Proficient in Excel, Word, Outlook and Microsoft Office is a must.
  • Proficient in QuickBooks Desktop
  • Very detail-oriented, able to handle multiple projects at any given time
  • Strong communication & customer service skills
  • Excellent verbal and written skills
  • Skilled at adapting to project constraints, resolving problems and working independently to create workflows.
  • Valid Arizona driver’s license and a clean driving record
  • Reliable transportation is essential for occasional travel to/from properties
  • This position will primarily work in an office environment and on occasion travel to various properties
  • Good understanding of contracts and lease agreements is helpful, but not required.
  • Commercial property management experience helpful, but not required.


Responsibilities
  • Managing office facilities and front reception desk answering phones, greeting guests, and processing mail and packages.
  • Assist office staff and perform other administrative duties as assigned.
  • Assist in maintaining and organizing all hard and electronic files for all properties, vendors and tenants.
  • Assist property manager (PM) with various duties including tracking vendor proposals and contracts, process work orders and follows-up to ensure completion.
  • Draft correspondence, track tenant insurance requirements and certificates of insurance
  • Manage calendar appointments for property work orders, insurance expirations and various deadlines.
  • Assist PM with tenant move-in/move-out checklists – file creation, utility transfers, welcome letters, etc.
  • Keep property contact lists of vendors and tenants and work order log updated
  • Able to follow instructions and work on special projects under supervision of Property Manager and achieve results quickly.
  • Process vendor A/P and tenant A/R activities in QuickBooks and be able to generate reports.
  • Review, prepare, and code invoices for property manager’s approval
  • Identify vendor account discrepancies, aging balances and calculating late fees accordingly and rectify account issues.

On-site position in North Scottsdale
Hours are Mon-Thurs from 8-4:30 and Fri from 8-3
Salary: 55-58K DOE, plus benefits
