Busy Real Estate Office is seeking an experienced Administrative Assistant/Collections Manager. This individual must demonstrate high standards of professionalism and should have exceptional people and phone skills. They must be able multi-task like a pro, work well with minimal supervision, be very detail oriented, organized, have experience working with Microsoft Office, be able to communicate effectively both orally and in writing, and most of all, have an upbeat and positive attitude.

This is a busy fast paced office. Professional demeanor, professional appearance, and exceptional customer service skills are of the highest priority.

Administrative

  • Input listings in local MLS and other rental websites
  • Process rental applications
  • Screen calls and emails to rental inquiries
  • Notify PM of prospective showings
  • Direct owner/tenant calls as needed
  • Cover front desk when asked/needed
  • Any other duties requested
  • Answer and direct phone calls
  • Take tenant payments
  • Scan documents when requested
  • Make keys and key tags
  • Issue lock boxes upon request

Utilities

  • Have utilities turned on/off when directed for a specific property

Owners

  • Enter owner contact information in company contacts
  • Enter property and owner information in Rent Manager
  • Run Rental and Sales CMA’s
  • Contact owner 120 day before lease expires to see if they are moving back, selling or renewing

Tenants

  • Download rental applications, run credit algorithm, send to PM or owner
  • Prepare lease documents ensuring all documents are signed and saved in SharePoint
  • Enter tenant information in Rent Manager
  • Enter tenant contact information in Property Manager contacts
  • Ensure move in inspection forms and renters insurance have been received
  • Send letter to tenants at 6 months “Wanna buy?”
  • Contact tenants 90 days before lease expires as reminder of lease renewing or not renewing depending on owner’s preference
  • Prepare and send Section 8 documents for rent increases

Collections

  • Make reminder phone calls/texts to tenants on 4th
  • Send tenant 5 day notices on 6th
  • Obtain Unlawful Detainer between 12th-15th
  • Appear in court
  • File Writ of Possession
  • Keep owners and property managers up-to-date on delinquent tenants
  • Update tenant account in Rent Manager to include charges and court dates
  • Put court dates (with tenant names) on company calendar
  • Must have valid Drivers license and reliable transportation
  • Position requires trips to all 7 city's court houses , fuel re-imbursement weekly.
  • Send tenant 5 day notices on 6th
  • Obtain Unlawful Detainer between 12th-15th
  • Appear in court
  • Make reminder phone calls/texts to tenants on 4th

Job Type: Full-time

Pay: From $16.00 per hour

Expected hours: 40 per week
