Job Overview:

The Dispatch Supervisor will schedule work orders and support field activities and drivers by delivering assignments, instructions, and alerts via the organization’s wide variety of communication systems, including phones, computers, and radios. As part of the dispatch team, the Dispatch Supervisor will oversee the drivers’ routes and the field units’ status to ensure the drivers’ schedule is efficient and productive. The Dispatch Supervisor will support employees in the performance of their job duties such as responding to inquiries and resolving issues or complaints, coordinating with dispatch to deliver and retrieve containers, and direct company truck drivers properly and efficiently.

 

Supervisory Responsibilities:

  • Organize and oversee the daily workflow, schedules and assignments of dispatch department.
  • Supports with training of new employees in the company’s dispatch policies, procedures, and best practices.
  • Assists with corrective action as needed and in accordance with company policy.

 

Duties/Responsibilities:

  • Ensures that dispatch representatives are complying with changes to company services and procedures.
  • Train employees on proper usage of new technology implementations for daily operations.
  • Identifies opportunities to update or improve dispatch procedures and makes recommendations to Supervisor or other appropriate staff.

 

TITLE: DISPATCH Supervisor, cont.

  • Answers incoming calls and communications in a timely manner.
  • Coordinates response and delivery of received information to field staff.
  • Dispatches and deploys staff, vehicles, and/or units based on communications received.
  • Adeptly uses multi-line telephone system, mobile phones, two-way radios, and other communications methods and networks.
  • Ensure new drivers are properly trained on usage of technology applications and monitor such progress until users are proficient in utilizing all necessary features to perform assigned work.
  • Performs daily update of information on technology and computer programs to reflect service updates.
  • Set up and distribute truck drivers’ schedules based on work available. 
  • Maintains calm communication with and provides instruction (such as first-aid guidance) to incoming callers.
  • Work alongside customer service team to report driver delays and/or issues at terminals and warehouses.
  • Monitors freight movement using various computer software applications to track and trace service of goods being received and delivered.
  • Performs other duties as assigned.

 

 

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Extensive knowledge of dispatch procedures and principles.
  • Ability to resolve complaints and issues while maintaining a professional and calm demeanor.
  • Excellent interpersonal and customer service skills.
  • Ability to prioritize tasks, delegating when appropriate.
  • Ability to coach and mentor dispatch representatives.
  • Proficient in Microsoft Office Suite or related software. 

 

Education and Experience:

  • Bachelor’s degree preferred.
  • At least three years of dispatch experience required.
  • Previous experience in a supervisory role preferred.

 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
