**Job Summary:**

 

AristaCare, a premier healthcare organization committed to delivering outstanding care and services, is seeking a detail-oriented and driven HR and Payroll Assistant to enhance our dynamic team. The successful candidate will play a pivotal role in supporting HR and payroll functions, ensuring precision, compliance, and efficiency in benefit administration, payroll processing, and related responsibilities.

 

**Key Responsibilities:**

 

**Human Resource:**

 

1. **ACA (Affordable Care Act) Compliance:**

   - Review the benefit dashboard for each facility, ensuring adherence to ACA regulations.

   - Collaborate with HR to update and maintain accurate ACA-related information.

 

2. **401k Management:**

   - Submit biweekly payroll files for each facility, ensuring accurate 401k contributions.

 

3. **Health Insurance Administration:**

   - Review weekly emails from APA and update Viventium, our HR and payroll system.

   - Prepare insurance allocations for payables, maintaining accuracy in health insurance records.

 

4. **Streamlining and Reporting:**

   - Run monthly reports for HR and Payroll purposes, contributing to organizational efficiency.

   - Update and maintain lists and databases to streamline processes.

 

5. **Open Enrollment Coordination:**

   - Collect and manage employee enrollments during open enrollment periods.

   - Ensure timely and accurate submission of enrollment information to the insurance company.

 

6. **WOTC (Work Opportunity Tax Credit) Compliance:**

   - Conduct audits to verify that all new hires are screened for WOTC eligibility.

   - Provide necessary wage information to fulfill WOTC compliance requirements.

 

7. **Aetna Voluntary Benefits Management:**

   - Update Aetna voluntary benefits file and submit monthly reports and updates.

 

8. **Life Insurance Administration:**

   - Process all new enrollments and terminations related to life insurance for our facilities.

 

9. **Wellness Initiatives (Well IQ):**

   - Facilitate wellness initiatives by sending out weekly emails to HR Managers.

 

**Staffing and Payroll:**

 

1. **Oversee Real-time Scheduling System:**

   - Monitor and ensure the real-time utilization of the scheduling system.

   - Address any discrepancies and implement corrective measures promptly.

 

2. **Staffing Patterns and Budget Compliance:**

   - Verify adherence to established staffing patterns and budgets.

   - Collaborate with relevant departments to adjust staffing levels as necessary.

 

3. **Time and Attendance Reporting:**

   - Run regular reports for time and attendance, providing accurate data for review.

   - Collaborate with HR and management to address any discrepancies or issues.

 

4. **Timecard Verification and Correction:**

   - Verify timecards for accuracy, addressing punch discrepancies and manual inputs.

   - Implement corrective actions and provide guidance to employees as needed.

 

5. **Union Reports and Contributions:**

   - Prepare and submit accurate union reports in compliance with established timelines.

   - Collaborate with union representatives to ensure seamless communication and contribution processes.

 

6. **Payroll Deductions Accuracy:**

   - Verify the accuracy of all payroll deductions, including taxes, benefits, and other applicable deductions.

   - Address discrepancies and rectify payroll deduction errors promptly.

 

7. **Assist in Payroll Processing:**

   - Collaborate with the payroll team to ensure accurate and timely processing.

   - Address any payroll-related queries or issues promptly and efficiently.

 

8. **Payroll Reports for Management Review and Analysis:**

   - Assist in generating various payroll reports for management review.

   - Provide analytical insights based on payroll data to support informed decision-making.

 

**Qualifications:**

- Previous experience in HR and payroll administration preferred.

- Familiarity with benefit administration, ACA, and payroll processing.

- Strong organizational skills with keen attention to detail.

- Excellent communication and collaboration skills.

- Proficiency in relevant software and systems (e.g., Viventium, Empeon, Onshift tools).

 

**Education and Experience:**

- High school diploma or equivalent; additional HR or payroll certifications are a plus.

- Prior experience in a similar role is beneficial.
