Operations Lead

  • Operations
    • Monitor routes throughout the day and inquire of concerns, rescue plans, etc. with Dispatcher on duty.
    • Handle escalations received from all Lead Driver types and Dispatchers by providing guidance and bringing the issue presented to resolution in a timely manner.
    • Resolve any immediate scheduling conflicts for Drivers, Lead Drivers and Dispatchers to ensure proper daily coverage.
    • Avoid dropped routes daily, by leveraging non-Drivers trained to drive to cover the unassigned route, including yourself.
    • Address ad-hoc requests and escalations from the Amazon station employees.
    • Escalate issues that may result in financial impact to the company, termination of employees, Amazon related concerns and any major business impacting events to MELL Owner.
    • Escalate on-the-road incidents to MELL Owner such as dog bites, on road violence, accidents, slip & falls, or anything that may result in a worker’s compensation claim.
    • Revise rostered Drivers as needed to ensure daily coverage, avoid overtime, or suspend Drivers for poor behavior/performance.
    • Oversee inventory tracking managed by the Dispatch team and ensure completion weekly.
  • Opening and Closing Duties
    • Oversee opening and closing tasks, ensuring proper team coverage through Lead scheduling.
    • Handle all escalations from opening and closing team.
    • Ensure immediate resolution of daily scheduling concerns to avoid dropped and/or late routes. This includes calling individuals not scheduled for coverage, creating blocks for Drivers not rostered, switching out Drivers, etc.
    • Resolve personnel issues, including attendance violations, excessive tardiness, immediate needs for schedule changes, conflict resolution, and all other issues that arise daily.
  • Personnel Scheduling
    • Work with HR to ensure all schedules are accurate in Paycom and make necessary adjustments.
    • Ensure 2-4 backup Drivers are scheduled each day, increasing during peak seasons and high call out days (i.e. the day after pay day)
    • Roster Drivers daily in the Amazon Scheduling tool by 5pm each day. Contact additional Drivers to cover all routes if needed.
    • Ensure immediate resolution of daily scheduling concerns to avoid dropped and/or late routes. This includes calling individuals not scheduled for coverage, creating blocks for Drivers not rostered, switching out Drivers, etc.
    • Update ECP in the Amazon portal every week by 3pm each Monday, ensuring each day meets or exceeds our route commitments.
    • Escalate personnel needs immediately to HR, specifying position and scheduling needs.
    • Resolve personnel issues, including attendance violations, excessive tardiness, immediate needs for schedule changes, conflict resolution, and all other issues that arise daily.
    • Prepare and distribute the Lead Driver and Dispatcher schedules two weeks ahead of time.
  • Fleet Management
    • Track and resolve issues escalated by Drivers, Lead Drivers, and Dispatchers concerning fleet and inform the Owner if the issue will result in a financial or business impact immediately.
    • Handle daily fleet escalations to ensure all vehicles are in proper working order and safe for driving.
    • Ensure new vehicle damage is recorded on the master vehicle damage sheets by the Lead Drivers and Dispatchers.
    • Complete and administer corrective action forms for Drivers who caused vehicle damage according to the Vehicle Damage Policy.
    • Oversee the coordination and management of vehicle repairs (including oil changes and tire rotations), pickups and drop-offs by Dispatchers or Driver Leads.
    • Review vehicle maintenance logs for accuracy and completion by Dispatchers.
    • Oversee coordination and management of daily vehicle cleanliness.
    • Manage vehicle intake process.
    • Provide guidance and support to the Dispatchers and lead drivers.
  • Performance (Quality, Speed, Compliance) and Safety Reviews
    • Establish a performance and safety review system that provides timely feedback to Drivers, Lead Drivers and Dispatchers.
    • Coach Drivers, Lead Drivers and Dispatchers regarding safety and performance, minimally monthly.
    • Oversee daily review discussions regarding Mentor results provided by the on- duty Dispatcher with Drivers.
    • Resolve performance escalations received by Dispatchers concerning quality, speed, compliance and safety concerns identified. Coach Drivers and document coaching sessions regarding performance and/or safety concerns within 1 week of escalation received.
    • Resolve Driver tier infractions received from MELL Owner within 1 week of receipt, through documented coaching.
      • Provide any evidence received from the Driver for tier infraction disputes to MELL Owner.
    • If excessive Driver violations are incurred, meet with MELL Owner with documentation from coaching sessions to move forward with suspension (greater than 2 days) or termination of the Driver.
    • Provide evidence to MELL Owner regarding ARC claims as needed.
    • Review the weekly MELL scorecard and address overarching company issues, as well as Drivers rated “poor” or “great” by Friday each week.
  • Continuous Improvement
    • Identify opportunities to streamline the current processes and procedures, cut costs and improve delivery performance and implement.
    • Execute ad-hoc projects to improve the flow of work and delivery performance for MELL as needed.
