Position Title: Commercial Property Real Estate Manager, Associations
FLSA Status: Exempt, Full-Time

The right candidate is a self-starter, has varied commercial property management experience and will make this position better than what we give you.

Summary:

  • Oversee the day to day operations of assigned portfolio which includes association and part-time on-site property management. Real Estate Managers have contact with tenants and private contractors serving the property and may have contact with certain property owners. Key

areas of responsibility include customer relations, property operations, construction, lease and contract administration and financial management and analysis.

Essential Duties and Responsibilities

OPERATIONS INCLUDING ASSOCIATIONS:

  • Professionally interface and resolve issues as reported by board members.
  • Handles Board and owner correspondence.
  • Coordinates and run Board and Owner meetings.
  • Handles Board and Owner correspondence.
  • Coordinates tax return preparation and compliance with State laws.
  • Prepares meeting minutes.
  • Prepares annual budgets and enforce the governing documents at the discretion of the Board.
  • Manage day to day operations, vendors and maintenance of assigned properties.
  • As primary tenant contact - enforce leases and ensure tenants’ service requests are being responded to quickly and efficiently.
  • Oversee contracted vendors and property staff to ensure they are meeting the terms of the contract and scope of work on behalf of the client.  Handle any service issues and ensure service meets quality standards.
  • Regularly and proactively conduct property inspections as required by the Management Agreement as requested by Senior Portfolio Manager, and ensure all appropriate actions are completed, including taking necessary steps to ensure all spaces such as vacancies and common areas are always tour ready.
  • Responsible for knowing and understanding the terms and requirements of each management contract and the underlying job cost under their supervision.
  • Coordinate with property’s leasing brokers regarding upcoming vacancies, showings, etc.
  • As applicable - Work with assigned Project Manager on oversight of property and tenant construction projects. Ensure contracted projects adherence to building rules, regulations and specifications. Oversee all Building Capital and Major Repair projects. If no Project Manager is available, manage the major property and construction projects.
  • Develop written communications to tenants for lease compliance and rent collection. Be familiar with all pertinent property information for assigned buildings including leases, management agreements, associations, and listing agreements.
  • Inform and ensure Property Assistant enforces the terms and conditions of leases.
  • Respond to maintenance requests and prepare work orders and/or purchase orders for service needs and insure they are completed, tracked, and closed out for full satisfaction.
  • Ensure (tenant) customer moves are coordinated, including scheduling a meet and greet, access, signage and other elements.  Ensure all move out and restoration requirements are enforced. 
  • Responding to property after hour calls and emergencies, 24 hours per day, 7 days per week and make advance arrangements with supervisor if not available for after hours calls.
  • Make recommendations to Senior Portfolio Manager regarding property issues.

 

FINANCIALS:

  • Preparation of annual operating and capital budgets in accordance to the budget guidelines.
  • Review and approve tenant operating expense estimates and reconciliations.
  • Review and verify all budgeted expenses.  Ensure all projects are completed on time and within budget. 
  • Review of tenant sales reports as required by leases.
  • Completion of monthly/quarterly financial reports, including reviewing accruals, need for reclasses, management narrative, budget variance report, and other reports as required for Senior Portfolio Manager approval.
  • Daily review and approve coding on invoices for each property per correct GL code.
  • Periodically review each property’s GL to ensure all invoices have been paid and properly coded, and that tenant bill backs are being collected.
  • Ensure all rent and miscellaneous charges are collected timely. Make delinquency calls and follow MJ delinquency procedures if not received in a timely manner.
  • Submit capital costs, leasing commissions, TI allowances, etc. for reimbursement from Lender impounds, if applicable.

OTHER:

  • Exhibit the highest degree of professionalism in all aspects when interfacing with tenants, clients, and service providers. Display integrity, loyalty, confidentiality, and professionalism always with co-workers and clients as well as adhere to the company's highest standards of ethics and dress code.
  • Complete all daily, monthly, and annual deliverables for Senior Portfolio Manager’s review as required.
  • Supervising one or more employees. Actual number of employees can fluctuate at company’s discretion.
  • Assist with mentoring Property Assistant/Assistant Property Manager
  • Other duties as assigned

Performance Standards:

  • Must maintain professional appearance in accordance with company policy.
  • Adhere to company policy regarding regular and punctual attendance.
  • Must exhibit a high level of professional etiquette while interacting with employees, team members, outside professionals, and tenants.
  • Complete duties accurately and with minor supervision.
  • Must demonstrate knowledge and understanding complex lease language.
  •  Execute all duties to completion according to departmental guidelines and within designated timelines.
  • Must be capable of setting priorities, multi-tasking, and working under pressure.
  • Show ability to analyze work accurately and effectively.
  • Takes responsibility for own actions.
  • Completes professional development training and assessment as required.

Education/Experience:

  • Minimum of five (5) years real estate management experience
  • California Real Estate License (salesperson or Broker) in good standing
  • College degree preferred
  • Project Management experience a plus
  • RPA and/or CPM designation or coursework and candidacy preferred
  • Excellent interpersonal skills and the ability to supervise 1 or more employees
  • A problem-solving mindset and ability to troubleshoot
  • Excellent customer service and communication skills

Computer Skills:

To perform this job successfully, an individual should be proficient in Word; Excel; Internet software and Outlook.  Experience with Yardi a plus.
