Office Receptionist/Accounts Receivable Clerk

Your duties will include the following:
Receivables and Collections
Your primary job duties are to get client invoices out, and follow up to collect the amounts owed and retainers due. You must go through several hundred clients files each week to determine where each matter is, with respect to hours worked.
If cases are not being worked as required by Firm policy, you will work with the administrative staff to flag those cases, so that attorneys and paralegals may bill the files.
Phone Manners Matter
You will be dealing with existing and potential clients. You must have the ability to sound friendly and professional on the phone, no matter what the day is like, and direct potential new clients and existing clients to the right department.
Prepare Correspondence
Prepare client Intake forms, Engagement Agreements, and forward filings to clients. You must be able to quickly craft and issue letters to clients on matters ranging from office meetings, billings, to conference times with attorneys.
RESPONSIBILITIES
- Respond to client inquires
- Schedule client meetings and consults
- Prepare the office for meetings
- Coordinate with accounting and other collections personnel daily to track collections for the day
REQUIRED SKILLS:
- Experience with MS Excel, PPT and Word;
- Prepare and maintain call logs and spreadsheets;
- Professional telephone manner, and refrain from the use of slang or street lingo.
Some post-secondary qualification is preferred, but not required.
Professional office attire is required, at all times.
