Job Summary

The Medical Care Manager is responsible for overseeing the Admissions and Adoptions Health Department and coordinating animal movement throughout the center. This position plays an important leadership role in ensuring that staff follow established guidelines regarding animal care and reducing LOS to ensure excellent animal care for the pets coming to the center and the people caring for them. All job duties support Providence Animal Center’s mission in accordance with the organization’s policies and procedures and with the safety of people and animals at the forefront of all activities. This job description should be taken as a general description of the position's responsibilities.

 

Accountability: This position reports directly to the Chief Operating Officer.

 

Essential Duties and Responsibilities

 

Department Management

· Oversee the Admissions Department, acting as an associate as needed.

· Oversee the Adoptions Health Department, acting as an associate as needed.

· Assist in building and managing Parvo Clinic

· Assist in establishing and implementing operating standard procedures/protocols (SOP) and training protocols for designated staff members.

· Coordinate transport of patients needing x-rays to outside hospitals

· Oversee submitting and managing Richard Lichter Program dogs

· Ensure examinations for all incoming animals are done following the Admissions Exam Protocols

· Handle animals, perform assessments & treatments, and report findings regarding health and temperament to the appropriate staff for evaluation in a timely fashion

· Perform “rounds” with or without a staff veterinarian to keep the LOS to a minimum for animals on hold for follow-up vet checks. Communicate updates with department managers

· Ensure vaccines are up to date for all animals in the center; booster as needed following the Vaccination Protocol

· Monitor pets' health status housed in the Admissions & Adoptions Health Department wings.

· Formulate lists, working with department leads for spay/neuter, admissions exams, follow-up vet exams & foster care placement, “fast-tracking” of animals

· Answer phone calls; respond to email inquiries and messages in a timely manner.

· Ensure daily, weekly, or monthly reports are completed and submitted, including Monthly LOS reports and grant reports as needed.

· Communicate with the Foster Coordinator about animals needing foster placement, giving specific information such as animal ID numbers, age and/or weight. Perform foster animal exams and vaccinations.

· Communicate with the Lifesaving Coordinator regarding overall space in the Admissions & AHD departments, including open areas and/or kennels, information about areas under quarantine, and anticipated duration and/or animals waiting for foster placement.

· Ensure all data is updated and entered into the animal database, including but not limited to animal sign-in, entering admissions exams, and updating the locations daily of the animals moving in and out of the assigned areas.

· Assist with behaviorally and medically assessing owned felines seeking placement into our adoption program in conjunction with the Lifesaving Coordinator and Pet Retention Coordinator to decide to accept or deny entry. Provide resources and referrals to the client if the animal is not able to be admitted

· Coordinate social media photos as needed.

· Ensure safe and clean areas.

 

Staff Management

· Responsible for the daily operations of the Admissions Department & Adoptions Health Department, directly managing the staff and departmental volunteers along with team leads.

· Ensure that proper policies and procedures are communicated and followed. Ensure proper animal care and cleanliness of assigned areas

· Participate in the hiring process and oversee the training of new associates with assistance from team leads/seasoned staff. Regularly evaluate the job performance of assigned staff; consistently give staff feedback. Plan, assign, and evaluate the work of team members to include formal disciplinary actions for staff & annual performance evaluations

· Supervise, mentor, and coach associates. Promotes positive recognition of good performance and is actively engaged in teambuilding

 

 

Center Management

· Assist Veterinary Management staff in evaluating all new and ongoing projects regularly to recommend and, when requested, implement needed changes

· Continuously institutes, with Veterinary Management, customer and animal care staff training to ensure staff is aware of new and revised policies, procedures, rules, and regulations

· Meet regularly with the Veterinary Management Staff to determine strategies for improving Providence Animal Center for the animals, staff, volunteers, and customers.

· Coordinates efforts with management to develop, implement, interpret, and update departmental policies and procedures.

· Meet regularly with staff to communicate changes and gain feedback on policies and procedures.

· Open and close the shelter, as needed, working closely with other management and staff

· Carry the emergency cell phone during assigned times and handle emergencies in a timely manner

· Evaluate and resolve customer complaints with professionalism. Coach and train associates on handling difficult situations

· Addresses employee and volunteer grievances and complaints in conjunction with appropriate management.

· Educate the public about the mission of Providence Animal Center and the Adoption Center’s policies and procedures

· Participate in Providence Animal Center and/or Francisvale events as needed or required.

 

Qualifications

· High School Degree or equivalent

· Managerial experience, preferably in animal sheltering

· Must have supervisory knowledge, including training methods, motivation, and decision-making techniques. Skill in mediating disputes, conflicts, and grievances. Ability to train and effectively direct the activities of staff

· Excellent communication skills including skills in writing and the ability to express thought orally clearly. Ability to establish and maintain effective working relationships with volunteers, co-workers, and staff; act proactively to ensure smooth team operations

· Knowledge of computers and relevant software applications, including MS Office

· Must be comfortable working in a fast-paced, high-energy environment; must be able to prioritize effectively and manage workday hours efficiently

· Must have animal handling experience and basic knowledge of animal behavior issues, along with a general understanding of animal health-related concerns

· Must have a genuine interest in the work, programs, and mission of Providence Animal Center

 

Physical Requirements

· Work is performed in an animal shelter, office, and outdoor environment.

· Must frequently sit, stand, walk, bend, and stoop to perform duties.

· Ability to lift and carry 20 lbs. without assistance.

· Flexibility with bending and reaching in tight spaces to perform assigned duties.

· Possible exposure to cleaning agents, allergens, and zoonotic disease.

· Subject to work outside in a variety of weather conditions

· Subject to loud/frequent noise

 

Position Type and Work Schedule

· This is a full-time, exempt position

· Schedule: Tuesday through Saturday, 9 am to 5 pm.
