The Property Manager reports to the Operations Manager and primarily oversees the residential rental portfolio and fosters relationships with property owners. This position is key to building and maintaining strong relationships and well-organized property management at Vilgar Property Management. This is a full-time position that sometimes requires time beyond the usual schedule and occasional weekend work. Finally, as a locally owned and operated company, the team at Vilgar Property Management is close, and successful team members aren’t afraid to jump in and help wherever it’s needed.
The primary responsibilities include the implementation of the overall vision for strong property owner relationships, and ensuring that the experience of new and current tenants matches Vilgar Property Management’s commitment to offering outstanding property management in Northwest Indiana.
Primary responsibilities include:
Acting as the primary point of contact for property owners, including handling all owner communications, answering questions and addressing concerns
Reviewing and analyzing property owner financial statements, checking for accuracy, and verifying account status
Conducting on-boarding sales calls with potential property owners
Creating, updating, and following workflow systems as needed to improve overall efficiency
Creating and tracking performance on Key Performance Indicators (KPIs) and metrics for each department
Acting as the primary point of contact for virtual assistants and leading daily and weekly meetings with VAs.
Light bookkeeping (recording receipts in accounting software)
Assigning work orders for maintenance requests
Overseeing the collections department and determining occupancy status for all properties
Attending court for all city court and eviction hearings as a representative of VPM
Overseeing and/or completing all required follow up to court hearings, including enforcing evictions
Cross-training in other roles at VPM and assist as needed
Completing other duties as needed for special projects
Additional responsibilities may include:
Supporting day-to-day property management operations as needed (including tenant screening and on-boarding activities when the primary team member who oversees this is not available)
Meeting new tenants to transition properties as needed
Assisting with property showings as needed
Purchasing supplies for maintenance repairs, tracking expenses and entering receipts into accounting software
Pursuing delinquent payments from tenants (may include in person visits to properties)
Processing rental assistance documentation for the Housing Authority
Scheduling appraisals and inspections as needed
Position Requirements:
2-3 years of property management experience (or 3 years of military experience)
Previous experience with property owner relations and/or outstanding customer service skills
Previous experience with residential property leasing and tenant screening
Strong verbal and written communication skills
Bi-lingual Spanish skills appreciated
Functional knowledge of technology (including Microsoft 365 and Google based email), and experience with (or a willingness to learn) AppFolio, basic QuickBooks activities, and future software programs as needed
Reliable transportation and willingness to commute to the VPM office in Hammond, IN (and possibly to properties in Lake, Porter, and LaPorte counties)
Experience with AppFolio desired (but not required)
Motivated self-starter with a growth mindset
Strong level of detail-orientation is required to succeed in this position
Physical requirements include sitting and standing for extended periods of time and occasionally moving materials that may weigh up to 35lbs.
Mental requirements include learning new tasks, remembering processes, maintaining focus, completing tasks independently, making timely decisions, and the ability to communicate with customers.
Able to pass a background check, drug screen, and provide the required I9 documentation for legal employment in the United States.
