American Lumber is a leading wholesale and manufacturer in the lumber industry with manufacturing facilities and sales offices in multiple locations across several states. We are looking for an Executive Assistant to perform a wide range of administrative support for our executive team. A successful candidate will possess strong organizational and time management skills, be detail-oriented, highly motivated, and enjoy working in a fast-paced environment.


Essential Job Functions:

  • Provide primary administrative support to executives.
  • Create agendas for executive meetings, scribe notes for meetings, and follow up on action items.
  • Facilitate meetings and use facilitation tools to guide meetings to success.
  • Maintain strict confidentiality of information and correspondence acquired through work activities.
  • Write letters and proofread all correspondence.
  • Prepare reports and update as needed.
  • Management of Schedules, Travel, and Calendars: o Proactively manage complex executive calendars including coordination of meeting schedules, conference calls, and prioritization of business appointments as well as anticipating materials or information needed for such meetings such as agendas, notes, action items, due dates, and assignments. o Research, prioritize and follow up on incoming issues and concerns addressed to the executives.
  • General Administrative Support: o Complete a broad variety of other administrative tasks as needed, including submitting reimbursement requests, sorting mail, organization of files, and backup support to other staff members in the corporate office.
  • Other projects and duties as assigned.

Required Knowledge and Experience:

  • At least 5 years of experience providing administrative and executive support services.
  • Extensive experience in Office 365, Word, Excel, PowerPoint, Microsoft Teams, Zoom, etc.
  • Experience in project management.
  • Excellent customer service skills
  • Strong written and verbal communication skills.

Education:

  •  Associate or Bachelor Degree in Business Administration preferred.
