Schedule: Monday to Thursday ( 4/10 )

Shift: 7:00 am to 5:30 pm

Contract terms: Temp to Hire with room for growth.

 Job Description Code: Administrative Assistant

Job Purpose / Scope: The Administrative Assistant is responsible for administrative and clerical services to ensure effective and efficient operations. This position also requires optimum customer service. The scope of the role of an administrative assistant can vary depending on the business condition changes within the organization.

Role: This role is responsible for administrative tasks assigned by the CEO and CCO. services by implementing and effectively performing within the administrative systems, standard operating procedures, and policies. This position reports to the CEO and the CCO.

Responsibilities:

·         Answering and directing incoming calls.

 

·         Maintaining a Contact List. Organizing and maintaining files and records: Administrative assistants must be able to maintain accurate and organized records of important documents and information.

 

·         Complete the First Half of Getting Started (initial Medi-Cal Intake Assessments).

 

·         Pick up and Distribute Mail. Assist the CEO with her daily schedule with various administrative duties.

 

·         Assist with inputting information into the CRM software program (Insightly) and to learn all facets of the program.

 

·         Booking travel arrangements for the CEO when needed.

 

·         Will assist the Case Worker (Eligibility Dept.) with forms, and all needed assistance they need.

 

·         Coordinating In-services with facilities and preparation of all in-service material for the CEO.

 

·         Administrative assistants are responsible for drafting, editing, and sending correspondence on behalf of the CEO, CCO, and whomever the CEO may designate.

 

·         Direct MCS client calls to appropriate departments and/or team members.

 

·         Prepare Marketing and Sales folders when needed.

 

·         Performing research and analysis: Administrative assistants may be asked to perform research and analysis on behalf of managers and executives, including market research, and competitor analysis.

 

·         Take on other duties assigned by the CEO.

Assist in planning and organizing events, including the annual CAHF event.

·         Re-order of marketing and office materials when needed.

·         Assist with Exclusive Facility accounts reports.

·         Participate in marketing meetings.

·         Ability to plan, organize, and perform duties and tasks within an effective team culture.

·         Optimum Customer Service skills

·         Effective time management and critical decision-making skills.

·         Administrative writing skills

·         Knowledge of Microsoft Office software
