Job Summary:
The Administrative Assistant provides essential administrative and clerical support to the Financial Planning team. This role involves a wide range of tasks, including managing schedules, handling client communications, organizing financial documents, and supporting various administrative projects.
Key Responsibilities:
- Calendar Management:
- Manage the financial planner's calendar, scheduling client appointments, meetings, and conferences.
- Coordinate travel arrangements for the financial planner
- Answer income callings and direct to appropriate team members .
- Client Communication:
- Respond to client inquiries and requests in a timely and professional manner.
- Assist with client onboarding and account maintenance processes.
- Document Management:
- Organize and maintain client financial records, including account statements, tax returns, and investment documents.
- Prepare and file necessary paperwork for regulatory compliance.
- Administrative Support:
- Assist with various administrative tasks, such as data entry, photocopying, shredding and scanning.
- Order office supplies and maintain inventory.
- Manage client retention through various platforms (gift card, email campaigns etc)
- Project Coordination:
- Support administrative aspects of financial planning projects, including tracking deadlines, coordinating meetings, and managing and executing different projects as needed.
- Compliance:
- Ensure compliance with industry regulations, such as FINRA and SEC rules.
Qualifications:
- High school diploma or equivalent required.
- Administrative experience preferred, ideally in the financial services industry.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Familiarity with financial planning terminology and concepts.
Additional Skills (Optional):
- Experience with financial planning software (e.g., eMoney Advisor, Wealthbox).
- Understanding of basic financial concepts (e.g., investments, retirement planning, tax strategies).
Hours:
- 5 days a week at 4 hours per day OR 4 days a week at 5 hours per day
- 9:00 a.m.-1:00 pm. (5 days) OR 9:00 a.m.-2:00 p.m. (4 days)
- 20 hours per week. Could possibly move up to 25 hours per week, depending on the needs of the company
Additional information:
