Job DescriptionJob Description

We are seeking a Part-time Administrative Assistant to join our team You will perform clerical and administrative functions in order to drive company success.

Job Summary:
The Administrative Assistant provides essential administrative and clerical support to the Financial Planning team. This role involves a wide range of tasks, including managing schedules, handling client communications, organizing financial documents, and supporting various administrative projects.


Key Responsibilities:

  • Calendar Management:
    • Manage the financial planner's calendar, scheduling client appointments, meetings, and conferences.
    • Coordinate travel arrangements for the financial planner
    • Answer income callings and direct to appropriate team members .
  • Client Communication:
    • Respond to client inquiries and requests in a timely and professional manner.
    • Assist with client onboarding and account maintenance processes.
  • Document Management:
    • Organize and maintain client financial records, including account statements, tax returns, and investment documents.
    • Prepare and file necessary paperwork for regulatory compliance.
  • Administrative Support:
    • Assist with various administrative tasks, such as data entry, photocopying, shredding and scanning.
    • Order office supplies and maintain inventory.
    • Manage client retention through various platforms (gift card, email campaigns etc)
  • Project Coordination:
    • Support administrative aspects of financial planning projects, including tracking deadlines, coordinating meetings, and managing and executing different projects as needed.
  • Compliance:
    • Ensure compliance with industry regulations, such as FINRA and SEC rules.


Qualifications:

  • High school diploma or equivalent required.
  • Administrative experience preferred, ideally in the financial services industry.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Familiarity with financial planning terminology and concepts.

Additional Skills (Optional):

  • Experience with financial planning software (e.g., eMoney Advisor, Wealthbox).
  • Understanding of basic financial concepts (e.g., investments, retirement planning, tax strategies).

Hours:

  • 5 days a week at 4 hours per day OR 4 days a week at 5 hours per day
  • 9:00 a.m.-1:00 pm. (5 days) OR 9:00 a.m.-2:00 p.m. (4 days)
  • 20 hours per week. Could possibly move up to 25 hours per week, depending on the needs of the company
