Accounts Payable Specialist

San Juan Capistrano, CA

We are currently hiring for an Accounts Payable Specialist in the southern orange county area. We have several opportunities available due to our growing needs We are specifically looking for entry to mid-level candidates who are interested in a long-term career with opportunities for growth, development, and advancement. The Accounts Payable Specialist will be responsible for maintaining, reporting, and processing all accounts payable functions and support of supplier/vendor accounts of the payments on a predetermined supplier/vendor base.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Full cycle processing for multi-site Accounts Payable.
  • Reconciles AP records to vendor statements and communicates with vendors to resolve discrepancies.
  • Initiates and executes weekly disbursement process for ACH, wire and check payment runs.
  • Processes bi-monthly payments via online credit card interface with a select number of vendors.
  • Creates payments in Wells Fargo and Bank of America platforms.
  • Oversees specific predetermined supplier/vendor base and maintains supplier/vendor master account records.
  • Performs three-way match and invoice entry on inventory, non-stock purchase order invoices and freight bills.
  • Downloads invoices from select vendors and properly routes to department personnel for review/approvals.
  • Communicates with multi-site global sourcing personnel to resolve issues.
  • Scans and routes vendor invoices for approval on a daily basis, prior to data entry into ERP system.
  • Creates and manually clears recurring payments using the corporate P-Card.
  • Maintains supplier/vendor contact to resolve quantity, pricing and payment term issues between buyers and global sourcing managers and supplier/vendors.
  • Become proficient in the use of JDE Oracle.
  • Responsible for creation of timely and accurate payments through Concur expense reporting for employees.
  • Maintains petty cash disbursement and reconciles cash box on monthly basis.
  • Oversees month end A/P including open accounts payable and open inventory reconciliations.
  • Periodic review and analysis of received-not-vouchered accounts for quarterly write-offs.
  • Ensures all payments are in accordance with supplier/vendor terms and accounts payable procedures.

EDUCATION, SKILLS AND EXPERIENCE

  • High school graduate or equivalent.
  • Spanish bilingual a plus.
  • Must be able to interface and communicate with other departments and employees at all levels within the Company, as well as outside organizations.
  • Good verbal and written communication skills required.
  • The ability to work in a flexible environment where priorities can be changed.
  • Must be detail oriented.
  • Capable of sitting for long periods of time with some walking, bending, and reaching.
  • Capable of lifting 20 lbs. on an occasional basis.

Accounts Payable Pay Rate:

  • Starting pay is $21.00 - $23.00 DOE
