Service Coordinator for Homeless services program

The front guest services area of the homeless service locations at the Access Point will be staffed by an Access Point Ambassador (APA). The APA maintains a dignified and respectful experience for participants, staff, and visitors at the Access Point site, focused on a safe, welcoming, and accessible environment. The APA greets clients, refers them, and manages Guest flow to appropriate staff and services. The APA also provides administrative support for the efficient functioning of the Access Point. This position reports to the Supportive Service Supervisor.
PRIMARY DUTIES AND RESPONSIBILITIES:
1. Maintains a welcoming and safe environment at Access Points, promoting an atmosphere of dignity and respect in line with the values and policies of agency. Maintains the highest level of customer service as the primary contact for participants using Access Point Services.
2. The Ambassador will support clients by cross-training, looking up participant information, and directing them to the appropriate resources or services they may be looking for if it’s not something that we can provide at the Access Point. Access Point services include, but are not limited to services such as back-rent payments or questions about their Housing Choice Vouchers through SF Housing Authority.
3. Works with staff and other on-site service providers to coordinate participant services through the Access Points.
4. Quickly assesses and responds to a variety of situations, including emergencies, conflict resolution through de-escalation and intervention, and other emergencies.
5. Proactively monitors the safety of the facility through regular perimeter, zone, and safety checks.
6. Escorts Guests to and from designated Problem Solver Staff and zones.
7. Maintains all Participant logs including Participant Property, Visitor Check-In & Out, and other logs as needed.
8. Responsible for managing Participant inquiries and use of a tracking system for follow-up outreach.
9. Facilitates participant food and snacks according to Supportive Service Supervisor’s distribution guidelines; Replenishes participant supplies as needed.
10. Assists in creating positive community awareness about Coordinated Entry, for example, by creating program flyers and conducting outreach mailings/e-mailings as needed. Maintains resource boards/public information for the Access Point lobby.
11. Assists as requested in making and managing participant appointments, for example, by making phone calls/sending e-mails to clients.
12. Creates and maintains records of incident reports as needed.
13. Assists with paper file creation/filing as requested.
14. Maintains an inventory of and stores office supplies, and places online office orders per protocol.
15. Receives and distributes incoming mail; maintains postage machine and takes outgoing mail to the post office/mailbox.
16. Keeps common use spaces neat and tidy (e.g. front lobby area, general conference room area, and Access Point areas).
17. Other light administrative tasks work that may include; taking messages, emailing, faxing, and maintaining visitor logs.
18. Works within and promotes the integrated services team model in an environment dedicated to harm reduction, recovery, and wellness.
19. Participates in regular meetings and training as required.
REQUIREMENTS:
1. At least two years of paid experience closely related to the job description.
2. Demonstrated high-level customer service and de-escalation skills.
3. Computer skills: Intermediate proficiency in Microsoft Word, Excel, and Outlook.
